Automation VA — Make.com (or Zapier) + QuickBooks + ClickUp (Part-time, remote)

Part-time contract to start (20–30 hrs/week). Potential to convert to full-time and long-term retainer across multiple clients.

We are building and scaling an automation-first service for tutoring/EdTech clients.
Your first engagement = to fully automate one client’s backend systems so that leads ? bookings ? contracts ? invoices ? attendance sync automatically.

Current systems include:
-TutorBird
-ClickUp [CRM]
-Wix lead forms
-DocuSign
-QuickBooks Online
-and Calendly

Responsibilities:
1. Audit existing apps & access (TutorBird, ClickUp, Wix, DocuSign, QuickBooks, Calendly).
2. Map workflows and present a simple flowchart for approval.
3. Build automations ( ---------- preferred; Zapier acceptable) to connect systems: lead capture, scheduling, contract sending, invoice creation, attendance sync.
4. Test thoroughly (happy path + 3 common edge cases), fix errors.
5. Document flows and record 5–7 minute Loom handover walkthrough.
6. Be available for 2 short live handoff sessions.

What success looks like (deliverables):
• Leads ? Booking ? Contract ? Invoice ? Session flow working end-to-end with QuickBooks logging payments.
• Clear documentation of each automation and 2 recorded videos: (1) admin walkthrough, (2) user test walkthrough.
• A list of recommended next steps for frontend lead gen automation.

Top 3 skills required to apply:
1. ---------- (Integromat) OR Zapier — proven experience building multi-step automations (show examples).
2. QuickBooks Online — experience with invoice creation triggers and mapping payments.
3. API / app integrations knowledge — experience integrating ClickUp/Wix/Calendly/DocuSign/TutorBird or comparable tools.

Nice to have:
TutorBird knowledge, ClickUp admin experience, experience documenting and creating handoff videos, basic JavaScript for small transforms.
