JOB OVERVIEW

We are a U.S.-based outpatient treatment center specializing in substance abuse and behavioral health, and we’re looking for a Virtual Assistant to support our compliance, documentation, and operations team.

This is a remote, long-term position for someone highly organized, detail-oriented, and experienced with tools like BestNotes (or other EHR/CRMs) and Microsoft Excel.

Key Responsibilities:

- Audit Clinical Notes:
Review therapist progress notes, group notes, and case management entries in BestNotes to ensure completeness and compliance.

- Compliance Tracking:
Monitor for missing or incomplete documentation and follow up with staff to maintain compliance with healthcare standards.

- Report Creation:
Work closely with our business consultant to gather data and create reports using Microsoft Excel (e.g., pivot tables, charts, summaries).

- Scheduling Support (Occasional):
Assist with scheduling therapists or internal meetings when needed.

- Team Coordination:
Collaborate with our U.S.-based team and ensure efficient communication across departments.

Qualifications:

- Fluent in spoken and written English

- Proficient in Microsoft Excel (especially working with data, formulas, and reports)

- Experience using BestNotes or similar EHR/CRM systems

- Familiar with HIPAA compliance and clinical documentation is a big plus

- High attention to detail and strong organizational skills

- Prior experience in mental health or substance abuse treatment centers is preferred

- Reliable internet connection, ability to work independently and meet deadlines
