Key Responsibilities
Administrative Support
• Answer and direct incoming phone calls from clients, caregivers, and partners in a professional and courteous manner.
• Manage office correspondence, including
• Maintain organized and up-to-date digital and paper files.
• Assist with data entry, reporting, and record-keeping to ensure compliance with company policies and state regulations.
Client Relations & Case Management
• Receive and respond to potential client inquiries with professionalism and compassion.
• Schedule in-home assessments, follow-up visits, and client meetings for the Administrator.
• Assist in setting up and coordinating new client cases, ensuring all required documentation is completed and filed properly.
Caregiver Recruitment & Credentialing
• Support the recruitment process by posting job openings, screening applicants, and coordinating interviews.
• Collect, verify, and maintain caregiver credentials, certifications, and required documentation.
• Assist with onboarding new caregivers and ensuring compliance with state and agency requirements.
Scheduling & Staffing
• Support the scheduling of caregivers to new and existing client cases, considering availability, skills, and client preferences.
• Maintain communication with caregivers to confirm shifts and provide updates as needed.
• Assist with resolving scheduling conflicts promptly and professionally.
Other Duties
• Assist the Administrator with special projects, presentations, and community outreach activities.
• Help organize meetings, prepare agendas, and take meeting minutes when required.
• Perform general office duties, such as ordering supplies and maintaining a clean, welcoming office environment.

Qualifications
- Experience with AxisCare software is a plus
• Previous experience in office administration, healthcare, or home care industry preferred.
• Strong organizational and multitasking skills with attention to detail.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with scheduling software.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Friendly, professional demeanor with a strong commitment to customer service
Schedule will be 10 pm - 6 am Phillipines time or 10am-6pm US EST
