Compliance Officer – Vendor Documentation & Communication
Location: Remote | Full-Time
Company Overview:
We are a fast-growing nationwide operating facility maintenance company expanding our operations and vendor network. To support this growth, we are seeking a proactive and detail-oriented Compliance Officer to help manage and maintain vendor compliance, focusing on document collection, communication, and data tracking.
Job Description:
Our Compliance Officers play a key role in ensuring our vendors meet company requirements and legal obligations. This includes collecting and reviewing their Certificates of Insurance (COIs), verifying documentation such as W-9s, contracts, and licenses, maintaining digital records, research and hiring new potential vendors, and professionally communicating with vendors via
Responsibilities:
- Request, review, and track compliance documentation from vendors, including COIs, W-9s, and signed agreements
- Communicate with vendors via phone and
- Maintain organized and up-to-date digital records using Google Sheets and document management software.
- Flag non-compliant vendors and coordinate appropriate next steps with the internal team.
- Provide clear and professional responses to vendor inquiries about insurance and compliance requirements.
- Coordinate internally with the onboarding and dispatch teams to ensure compliance standards are met before vendor assignment.
- Draft and send well-written, professional
- Support general vendor onboarding and assist with updating compliance procedures as needed.
Requirements:
- Professional and clear communication skills in English (written and spoken)
- Proficiency in Google Sheets or Excel (data entry, tracking, and filtering)
- Experience using cloud-based document management systems (e.g., Google Drive).
- Ability to write and respond to professional
- Strong attention to detail, organizational skills, confidence and follow-through.
- Comfortable making follow-up calls and explaining document requirements clearly.
- Experience in customer service, administrative support, or vendor coordination roles would be a plus
Preferred but Not Required:
- Familiarity with vendor compliance processes and COI / W-9 documentation.
- Experience working with vendors or subcontractors in fields like construction, maintenance, logistics, e-commerce.
- Knowledge of insurance types (e.g., General Liability, Auto Liability, Workers’ Compensation) is a plus.
