The Role
We’re seeking an offshore Virtual Assistant with proven experience in the fitness industry to support the day-to-day management of multiple client accounts. This is a part-time role (approx. 15 hours per week) with potential to grow as the agency scales.
Key Responsibilities
Manage and monitor multiple fitness client accounts with accuracy and timeliness.
Assist with campaign reporting (daily/weekly) including tracking KPIs and identifying trends.
Support media buying team with ad management tasks (pausing/activating ads, updating budgets, audience adjustments).
Handle client communication (messaging, updates, reminders) with professionalism and empathy.
Coordinate with other VAs and the agency director to ensure seamless delivery.
Double-check creatives, copy, and client requests for accuracy and brand alignment.
Support admin tasks such as onboarding new clients, updating CRM, and managing SOPs.
Requirements
Prior experience working with fitness businesses (gyms, studios, coaches, or fitness agencies).
High level of detail – able to spot errors, inconsistencies, or gaps before they cause problems.
Strong understanding of Meta Ads Manager or willingness to learn quickly.
Familiarity with CRMs (GoHighLevel preferred) and Many Chat
Excellent written and spoken English.
Highly organized, proactive, and reliable.
Available during AEST working hours for communication and quick response windows.
Hours & Pay
~15 hours per week to start, with flexibility to scale.
Competitive hourly rate based on experience.
