Job Title: Property Management Assistant (Virtual Assistant)

Position Type: Remote, Full-Time/Part-Time

About the Role:

We are seeking a detail-oriented and reliable Property Management Assistant VA to support daily operations. The ideal candidate will assist with administrative tasks, tenant communications, leasing coordination, maintenance tracking, and general back-office support. This role requires strong organizational skills, excellent communication, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

Tenant Relations:

Respond to tenant inquiries via phone, email, or text.

Assist with lease renewals, rental applications, and tenant screening.

Send notices (late rent, reminders, lease updates, etc.).

Administrative Support:

Maintain property records, databases, and filing systems.

Prepare reports, lease agreements, and correspondence.

Track deadlines and compliance requirements.

Financial Assistance:

Record rent payments and update ledgers.

Assist with billing, invoices, and vendor payments.

Follow up on outstanding balances and coordinate payment plans.

Maintenance Coordination:

Receive and log work orders from tenants.

Schedule and follow up with vendors/contractors.

Ensure timely completion and proper documentation of maintenance requests.

Marketing & Leasing Support:

Post available listings on online platforms.

Coordinate showings with leasing agents.

Track leads and update vacancy reports.

Qualifications:

Previous experience in property management, real estate, or administrative assistance preferred.

Strong written and verbal communication skills.

Proficient with property management software (e.g., AppFolio, Buildium, Yardi) or willing to learn.

Highly organized with attention to detail.

Ability to work independently, meet deadlines, and handle confidential information.

Comfortable with technology (Google Workspace, Microsoft Office, CRM tools, etc.).

Preferred Skills (not required):

Experience with U.S. property management processes.

Knowledge of rental laws and lease agreements.
