JOB OVERVIEW

Position Overview

We are seeking a highly motivated and detail-oriented offshore Project Manager / Estimator / Contracts Administrator to support our residential construction operations. This role is integral to ensuring projects are accurately estimated, well-documented, and efficiently managed from pre-construction through handover. The successful candidate will work closely with the Director, site teams, and subcontractors, providing robust estimating, cost control, and contract administration support.

This role will grow in responsibility as tasks are mastered and SOPs are built out, with opportunities to refine systems and drive efficiency in our estimating and project management processes.

Key Responsibilities

Estimating & Pre-Construction
• Review initial plans within 2 business days, providing comments, RFIs, and clarification requests.
• Prepare accurate cost estimates using Buildertrend cost codes, ensuring outputs align with company templates.
• Issue plans and documents to subcontractors/suppliers for pricing, track responses, and follow up.
• Complete take-offs, mark-ups, and BOQs using Bluebeam and save in project folders clearly labelled.
• Liaise with trades and suppliers to gather competitive pricing and value-engineer solutions when required.
• Assist Director in developing scopes of work and tender briefs from site/client meetings, photos, and videos.
• Prepare tender programmes and construction schedules (preferably in Buildertrend, or Microsoft Project if required).
• Develop construction methodologies using company templates and link these to detailed scopes of work.
• Compile tender submissions and proposals for client presentation, including scope, schedule, methodology, and allowances.

Project Management & Contract Admin
• Manage tenders end-to-end, ensuring all required documentation is collated and submitted.
• Draft and issue subcontractor agreements, purchase orders, and supplier contracts.
• Monitor and document revisions, maintaining strict document control processes.
• Track project budgets using Buildertrend/Xero, reconcile costs, and report financial performance/overruns to the Director.
• Ensure schedules are linked to payment claims to forecast cashflow and receivables.
• Assist with managing client selections: upload finishes schedules, make allowances where required, and issue updates.
• Maintain clear project records within Buildertrend folders for audit and reference.

Systems, SOPs & Continuous Improvement
• Help build step-by-step SOPs (with written guides and video walkthroughs) covering estimating, tendering, and contract admin processes.
• Identify process improvements and support data entry teams (Buildertrend back-end) to streamline workflows.
• Provide suggestions for value engineering and practical finishes options to support client budgets.

Additional Support
• General administration including invoicing, reconciling, and project bookkeeping.
• Support marketing initiatives (LinkedIn, Pinterest, and other platforms) to promote company projects and engagement.

Skills & Attributes
• Strong background in estimating, contracts admin, or project management within construction.
• Familiarity with residential building processes, subcontractor management, and construction methodologies.
• Proficiency in Buildertrend, Bluebeam, Xero, Microsoft Project, G Suite, and Microsoft Office Suite.
• Ability to read and interpret architectural drawings and specifications.
• Excellent written and verbal communication skills.
• Highly organised, process-driven, and able to manage competing priorities.
• Adaptable, collaborative, and proactive in problem-solving.

Hours & Reporting
• Full-time: Monday – Friday, 8:00am – 4:30pm AEST.
• Reports directly to the Director, with daily communication via email, Buildertrend, and scheduled check-ins.
