JOB OVERVIEW

We are seeking a highly reliable, proactive, and strategically minded Operations & Client Success Manager to support our growing educational tutoring services (K12 and college) and business automation solutions. You will manage client relationships, coordinate teams, drive client acquisition, and build operational frameworks that support scalability and future exit readiness. As a pivotal leader, you will be trusted to run key business functions anytime - even during the CEO’s absence. Working hours shall align with those in the United States Mountain Time (MT) zone - [8am - 5pm MST]..

Key Responsibilities
Client & Team Coordination – Educational Services:
Manage ongoing relationships with out-of-pocket clients (parents), ensuring timely follow-ups, accurate information-gathering, and client satisfaction.
Collaborate with HR to assign tutors tailored to client needs and preferences.
Monitor client progress and collect feedback for continuous service improvement.

Business Automation Marketing & Delivery:
Market automation and programming services to B2B clients through presentations and demos.
Collect detailed programming requirements and coordinate with developers to ensure accurate and timely delivery.
Drive onboarding and promote adoption of the automation platform among new clients.

Operations Management & Scalability:
Create, document, and maintain operational guides, SOPs, and workflows to ensure consistent service delivery and scalability.
Identify operational bottlenecks and propose practical solutions.
Build and nurture a strong team culture focused on accountability, growth, and effective delegation.

Availability & Leadership:
Be accessible on-demand to manage urgent operational issues, make decisions, and execute tasks across both businesses, including outside regular hours and during CEO absence.
Lead cross-functional initiatives and own key projects that enhance operational excellence and growth.

Strategic Growth & Exit Preparation:
Support translating strategic vision into actionable steps aimed at scaling business revenue towards $10M+.
Assist in preparing the business for future acquisition or exit through thorough documentation, team development, and operational readiness.

Performance Milestones & Probation Expectations (First 60-90 Days)
Successfully onboard at least 5-10 clients in the automation business segment.
Successfully onboard at least 10-20 clients in the educational services segment.
Deliver clear, comprehensive documentation of onboarding processes and operational procedures.
Demonstrate proactive problem-solving and independent task management.

Compensation & Timeline
$900/month during the probation period (60-90 days).
Upon successful completion of probation milestones and approval, increase to $1,100/month.

Support Structure
Bi-weekly scheduled meetings (e.g., Tuesdays and Fridays) for progress review, troubleshooting, and priority alignment.
Additional daily meetings are available if required to ensure success and provide hands-on support.
Open communication channels for quick questions and guidance between meetings.

Qualifications & Skills
Proven experience in client relationship management, preferably in the education or technology sectors.
Strong cross-team coordination and project management skills.
Familiarity with business automation and software development lifecycles is a plus.
Excellent communication and client-facing presentation skills.
High reliability, flexibility, and availability to address urgent operational matters.
Strategic thinker passionate about process improvement and operational discipline.
Startup or fast-growth company experience is highly desirable.
Self-starter able to work independently in a fast-paced environment.
