Job Title: Project Manager with some EA Duties – Olanberg (Philippines-Based)

About Olanberg
Olanberg is a diversified investment and acquisitions company with interests in residential real estate, care homes, hotels, film, franchising, and dental practices.

We are seeking a Philippines-based Project Manager with some Executive Assistant (EA) duties to support our leadership team. This is not a niche or specialist VA role — we need someone with broad skills who is adaptable, resourceful, and comfortable switching between different types of work depending on business priorities. One day you may be researching new markets, the next preparing a report, booking travel, or drafting a partner email.

The ideal candidate is proactive, detail-oriented, and thrives in a dynamic, fast-paced environment where priorities can change quickly.


Key Responsibilities
- Administrative Support – Calendar management, meeting coordination, travel bookings, document preparation, and database updates
- Research & Analysis – Conduct market, competitor, and industry research; compile data; create concise reports
- Communication & Coordination – Draft professional emails, liaise with partners, suppliers, and stakeholders, and follow up on outstanding actions
- Project Support – Assist with acquisition processes, due diligence, franchise onboarding, and content/document preparation
- CRM & Data Management – Update and maintain records, spreadsheets, and shared drives
- Process Improvement – Identify ways to improve efficiency in administrative workflows
- Confidentiality – Handle sensitive company and partner information discreetly


Required Skills & Attributes
- Excellent written and spoken English; professional tone
- Strong organizational and time management skills; ability to juggle multiple projects with shifting priorities
- Skilled at online research and summarizing information clearly
- Attention to detail; produces accurate work with minimal oversight
- Proficient with Google Workspace and Microsoft Office
- Proactive and solutions-focused; anticipates needs and follows through
- Trustworthy and discreet with sensitive company data
- Adaptable across multiple sectors (real estate, hotels, film, franchising, healthcare)
- Experience supporting executives or entrepreneurs


Preferred (Not Essential):
- Familiarity with property management and franchise acquisition
- Knowledge of CRM systems or project management tools


Work Setup & Schedule
- Fully remote (Philippines-based)
- Standard hours aligned with UK business time
- Stable internet connection and reliable laptop required


Interview & Trial Assessment Plan

Stage 1: Initial Screening (30 mins)
- Quick introductions, role expectations
- Communication clarity check (spoken English & tone)
- Short scenario questions to test problem-solving, e.g., “If a partner doesn’t reply to an important email for a week, what’s your next step?”

Stage 2: Skills-Based Assessment
- Email Drafting Test: Write a professional response to a fictional business inquiry
- Research Task: Given a topic (e.g., “Top 10 care home recruitment agencies in the UK”), provide a concise, well-structured summary in spreadsheet format
- Data Accuracy Test: Spot and correct intentional errors in a short dataset

Stage 3: Paid Trial (1 month)
- Assign small but real tasks from Olanberg’s current workflow:
• Research property data and present in a clear format
• Draft a partner follow-up email based on bullet points
• Schedule a meeting across multiple time zones
- Assess quality, timeliness, communication style, ability to follow instructions, and initiative

Stage 4: Final Fit Discussion
- Discuss trial feedback, expectations, and availability
- Evaluate cultural fit and alignment with Olanberg’s fast-paced, multi-sector approach
