Job Brief

The Payroll Specialist is responsible for preparing and supporting the overall management of payroll processing within the Business Solutions Team. This work-from-home role based in the Philippines, is designed to ensure payroll accuracy, compliance with tax/labor laws, and efficient payroll operations for various clients. The role requires extensive payroll experience (+6 years), strong analytical skills, and the ability to work independently while proactively supporting team objectives.

You will be required to provide guidance and support to the team, including reviewing and ensuring the accuracy of payroll processed by other tea ---------- mbers. This role requires a high level of expertise and the ability to mentor intermediate tea ---------- mbers, ensuring that all payroll operations are conducted in compliance with relevant Australian regulations.


Key Responsibilities

This role demands a high level of accuracy, attention to detail, and in-depth knowledge of payroll systems, tax regulations, and compliance requirements. You will be working closely with the Payroll Team Leader to ensure a timely and accurate processing of payroll.

This role will also include:

Payroll Processing and Management

- Process end-to-end payroll for multiple Australian clients across multiple states
- Maintain payroll records, including salaries, benefits, tax deductions, and leave entitlements
- Prepare reconciliations, supporting workpapers, and support submissions for PAYG, Superannuation, Payroll Tax, and other statutory requirements
- Manage monthly, quarterly and yearly payroll processes to enhance efficiency while supporting the implementation of payroll processes
- Maintain proficiency in payroll software and assist with troubleshooting basic technical issues
- Prepare and analyze payroll reports for management and clients
- Generate custom payroll or compliance reports as requested
- Remain updated with payroll regulation changes and ensure best practices are followed


Collaboration and Teamwork

- Collaborate with internal teams and clients to resolve payroll discrepancies
- Conduct thorough reviews of payrolls processed by other tea ---------- mbers to ensure accuracy and compliance with payroll regulations.
- Provide constructive feedback to enhance the quality of payroll processing
- Engage actively in cross-training activities to maintain and enhance team capabilities while supporting and mentoring intermediate staff to develop their skills
- Participate in planning and preparation activities to ensure smooth workflow operations
- Contribute to the creation and updating of payroll process documentation and training materials for the team
- Communicate professionally with clients, colleagues, and management using collaboration tools (e.g. Teams, Kudosity)


End of Financial Year Activities

- Prepare Payroll Tax and Workcover reconciliations and supporting workpapers for clients with multiple locations across Australian states
- Review workpapers prepared by other tea ---------- mbers to ensure accuracy and compliance
- Perform end-of-year payroll reconciliations and support clients to complete payroll finalization steps


Client Service and Relationship Management

- Provide exceptional customer service to clients, addressing complex payroll queries and concerns promptly and professionally
- Maintain strong professional relationships with clients, ensuring their payroll needs are met
- Escalate complex payroll, compliance, or system issues to Payroll Team Leader as required.


Continuous Improvement and Innovation

- Identify opportunities for process improvements to enhance payroll accuracy and efficiency
- Build and maintain strong professional relationships with clients, ensuring their payroll needs are met



Qualifications & Experience

The successful candidate will have the following:

- Proven experience as a payroll specialist, with at least 6 years of advanced Australian payroll experience
- Proficiency in payroll software including Xero Payroll, MYOB, QuickBooks , or similar platforms
- Strong knowledge of Australian payroll regulations, tax compliance, and labor laws
- High level of accuracy and attention to detail
- Ability to manage multiple payroll clients and meeting strict deadlines in a remote work environment
- Strong written and verbal communication skills in English
- Diploma/degree in accounting, finance, human resources or a related field (preferred)
- Experience working with international teams or clients is an advantage
- Familiarity with cloud-based collaboration tools (Slack, Teams, Zoom) and secure file transfer protocols
