We’re seeking an Operations & Marketing Coordinator to support our business brokerage operations from start to finish. You’ll be responsible for listing intake, marketing campaigns, buyer management, and transaction support — working closely with the broker to ensure smooth, efficient, and confidential operations.
This is an exciting role for someone who is detail-oriented, tech-savvy, and eager to grow in the commercial real estate and business brokerage industry.
Key Responsibilities
Marketing & Social Media
Post listings across
Create Canva reels, flyers, and branded materials.
Manage paid ad campaigns on Instagram/Facebook.
Respond to social media inquiries in a timely and professional manner.
Listing & Transaction Support
Gather financials, leases, and other documents from sellers.
Draft and prepare listing agreements and Offering Memoranda (OMs).
Maintain organized Google Drive folders for listings and escrows.
Assist with escrow management, including follow-ups and document requests.
Prepare license transfer paperwork (e.g., liquor license).
Buyer Management
Handle buyer inquiries from multiple channels and qualify
Send and track NDAs using BoldSign automation.
Ensure compliance by only sharing details once NDAs are signed.
Manage buyer leads in Pipedrive CRM (categorizing leads vs. deals).
Run weekly drip campaigns to the buyer database.
Search for businesses for sale and present to buyers.
Administrative & CRM
Update and maintain Pipedrive with activities, notes, and progress on individuals interested
Support team communication through WhatsApp and internal systems.
Follow checklists to ensure deadlines and compliance requirements are met.
Work time:
8am - 4pm PST. (This is not confirmed but a rough time)
PAY INCREASES BASED ON PERFORMANCE. CAP of $1200/month.
