We are a small real estate investment firm managing a portfolio of multifamily buildings across the United States. Our properties include apartment complexes and residential units, and we're seeking a skilled virtual assistant to support our property management operations remotely from the Philippines. This role offers the opportunity to work flexibly while contributing to efficient management in a dynamic US market.
Job Summary
We are looking for an experienced Virtual Senior Property Management Assistant to handle key administrative and operational tasks for our multifamily properties. The ideal candidate will have solid experience in property management, with proficiency in AppFolio and familiarity with multifamily real estate. This is a full-time remote position (approximately 40 hours per week) with flexible hours to align with US time zones (Pacific Standard Time). You will play a critical role in managing tenant interactions, vacancy processes, and operational workflows.
Key Responsibilities
Manage vacancy advertisements across platforms (e.g., Craigslist, Zillow, Apartments), following up on leads and scheduling viewings.
Handle tenant inquiries via phone,
Assist with tenant screening processes in AppFolio, including running background checks, verifying references, and preparing lease documents.
Coordinate maintenance requests, communicate with vendors, and ensure timely resolution of issues.
Update property listings, track rental applications, and maintain accurate records in AppFolio.
Perform administrative tasks such as scheduling appointments, preparing occupancy reports, and monitoring lease renewals.
Support marketing efforts for vacant units, including drafting ad copy and monitoring ad performance.
Provide virtual support to on-site teams or owners, ensuring compliance with US multifamily housing regulations (e.g., Fair Housing Act basics).
Qualifications and Requirements
3-5 years of experience in property management, preferably in multifamily or residential real estate.
Proficiency in AppFolio for tenant management, accounting, and reporting; experience with Yardi or Buildium is a plus.
Strong English communication skills (written and verbal) for professional tenant interactions and correspondence.
Working knowledge of US real estate practices, including tenant screening, leasing processes, and basic regulatory compliance.
Reliable high-speed internet, a quiet workspace, and availability during US business hours (e.g., 8 AM - 5 PM PST/EST, with flexibility).
High school diploma or equivalent required; a degree in business, real estate, or a related field is a plus.
Proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace for reporting and organization.
Ability to work independently, manage multiple tasks, and meet deadlines in a virtual environment.
Preferred Skills
Experience as a virtual assistant for US-based clients in real estate or property management.
Familiarity with multifamily-specific challenges, such as tenant turnover or community management.
Basic knowledge of digital marketing for rentals (e.g., SEO for listings or social media promotion).
Customer service experience in a call center or administrative role.
Compensation and Benefits
Competitive salary based on experience: Php 45,000 per month or more (based on experience), paid bi-weekly
