The virtual assistant will support our Referral & Prior Authorization team. The ideal candidate will play a pivotal role in managing and processing referrals and obtaining prior authorizations for medications, injectable biologics, and procedures, maintaining accurate records, and ensuring smooth communication between patients, providers, and internal teams. This is a remote position, and you will work closely with the front administrative team and back clinical team to streamline operations and enhance patient satisfaction.
Key Responsibilities:
• Referral Management: Handle incoming referrals, ensuring they are documented and scheduled, categorized, and updated in referral tracking logs. This task will also require interfacing with government and commercial insurance portals for prior authorization submissions for visits and/or procedures.
• Prior Authorizations: Handle Prior Authorizations for medications, specialized injectable biologic medications, and procedures. Ensure data is accurate and updated in patient chart. This task will also require interfacing with the specialty pharmacy web portal as well as third party programs like cover
• Insurance and Benefits: Review patient health insurance and benefits prior to visits to ensure visit eligibility, in network status of practice and financial responsibility of the patient.
• Client & Partner Communication: Respond to patients, referring providers and support staff inquiries related to referrals and prior authorizations, providing them with status updates or further information as needed. Send procedure and visit summaries to referring providers via e-fax or electronic medical record messaging.
• Scheduling & Coordination: Coordinate communication between teams for referral and prior authorization updates.
• Reporting: Generate and maintain weekly or monthly reports on referral and prior authorization metrics and outcomes. Ensure that any bottlenecks or delays are communicated effectively and reviewed with leadership.
• Administrative Support: Provide general administrative support to the administrative and clinical team.
Required Skills & Qualifications:
• Experience: Previous experience as a Virtual Assistant in a similar medical organization or customer service role, preferably within a referral or healthcare-related department (if applicable).
• Technical Proficiency: Familiarity with electronic medical records (EMR) systems (such as Modernizing Medicine EMA), patient engagement programs (such as Klara), Microsoft product suite (including Excel, Word, and PowerPoint) and project management tools (e.g. Asana). However, we provide training on dermatology workflows, EMR systems, and prior authorization processes.
• Communication: Excellent written and verbal communication skills. Ability to communicate clearly, professionally, and empathetically.
• Detail-Oriented: Strong attention to detail, especially when managing sensitive referral and prior authorization information and patient data.
• Organization: Ability to multitask and prioritize effectively in a fast-paced environment.
• Problem-Solving: Strong critical thinking and problem-solving skills to handle referrals and prior-authorizations or issues that arise in the process.
• Availability: Ability to work independently and be available for video calls throughout the entire shift.
