JOB OVERVIEW

Digital Freedom Productions is a podcast production company specializing in helping women coaches grow their influence and impact through high-quality podcasts. We’re looking for an A-Player -- a creative, highly organized, tech-savvy Virtual Assistant / Marketing Assistant to support our sales and marketing efforts while providing outstanding administrative assistance to the CEO.

In this role, you’ll provide extensive administrative support, manage social media content, support our sales pipeline, optimize and manage key marketing tasks and processes, create engaging marketing materials, be responsible for content creation, and social media management. You’ll work closely with the sales/marketing team and CEO, bringing initiative, creativity, and a client-focused mindset to every task.

Note: Initially, you would be hired for a paid “10-hour test project” working on the tasks you would normally be assigned to assess whether we’re a good fit.

Key Responsibilities:

Marketing & Sales Support (75% of role):

- Manage and create engaging social media content for Instagram, Facebook, and LinkedIn, staying ahead of trends and applying innovative strategies to elevate our social media presence.
- Consistently meet social media content deadlines and engagement growth targets.
- Create compelling blog posts, nurture sequences, and email content that align with our brand voice and connect with our audience.
- Design short-form videos and reels, mainly for Instagram, keeping on top of current trends.
- Track and follow up with sales leads, ensuring consistent and timely communication moving prospects through the funnel.
- Analyze and track the performance of social media posts, email, and content strategies, using insights to improve results.

Administrative Support (25% of role):

- Manage CEO’s inbox, calendar, and tasks, ensuring deadlines are met and priorities are clear at all times. Experience working with ADHD leaders is a bonus.
- Keeping the CEO on track with action items and readjusting priorities where applicable.
- Handle general administrative duties, including Slack, email correspondence, and file organization.
- Deliver outstanding client service, anticipating needs, and maintaining a positive, professional tone in all communications.
- Maintain strict confidentiality with sensitive company and client information.

AI & Tools:

- Use AI tools (including ChatGPT, Claude AI, Gemini) daily as thought partners for research, content creation, brainstorming, and data analysis, with proficiency in spotting AI hallucinations and applying critical thinking to ensure accurate outputs.
- Work with ClickUp, Slack, Meta Business Suite, Canva, Google Suite, Descript, and AI-powered content tools (e.g., OpusClip for reels). Leverage these platforms to streamline workflows and enhance marketing efforts.
- Adapt quickly to new platforms and tools as needed, staying ahead of trends and optimizing productivity, with a willingness to trial and give feedback on new/emerging AI tools.

What We’re Looking For:

- Experience: 3+ years in social media marketing (Instagram, Facebook, LinkedIn) and online marketing, and 3+ years as a virtual assistant; 1+ year working with AI/LLM tools (prompting engineering, context engineering, etc.)

- Proven ability to create content and strategy across formats (blog posts, social media posts, emails, nurture sequences, etc.)
- Strong understanding of core marketing principles and proficient in tracking and analyzing marketing metrics.
- Exceptional administrative, time management, and organizational skills with meticulous attention to detail, you are able to manage multiple tasks seamlessly and ensure that nothing slips through the cracks.
- Clear, concise, and proactive communicator. You should be responsive and understand the power of keeping everyone in the loop and making complex ideas simple.
- A stickler for grammar and an expert in American English.
- A motivated, proactive problem-solving individual who does not wait for instructions but takes the initiative to drive tasks, projects, and initiatives forward.
- An opinionated marketer and assistant who is not afraid to share their opinions and is able to back them up with data and experience.
- Able to manage multiple projects independently and meet deadlines without supervision.
- Flexible and adaptable to changing priorities, you stay on top of changing trends in the digital marketing space, particularly for Instagram, Facebook, and LinkedIn, and you are able to adjust strategies based on performance data.
- Podcast industry knowledge or experience would be a bonus.

Success in This Role Looks Like:

- Consistently meeting deadlines for marketing and admin deliverables.
- Increasing social media engagement and lead conversions.
- Keeping the CEO and team organized, informed, and on track.
