We are seeking a highly-capable, full-time Executive Operations Partner / Chief of Staff to support both the agency and its founder across business, creative, and operational domains.
WHY THIS ROLE MATTERS
This is a high-trust, high-autonomy role supporting the core of a mission-driven operation.
You will:
- Help the founder operate at peak clarity and creative output
- Build operational structure across agency, nonprofit, and creative projects across various diverse clients
- Solve real-world problems with minimal oversight
- Be involved in the earliest stages of ideas that reach the masses

WHAT YOU’LL DO
You’ll be the operational and strategic right-hand to the founder—a filmmaker, storyteller, and agency leader building projects across media, business, and culture. Your role is to keep both the creative studio and the agency humming—managing systems, solving problems, and freeing the founder to focus on vision and creation.
EXECUTIVE & FOUNDER SUPPORT
You’ll act as a trusted partner to the founder—anticipating needs, simplifying logistics, and helping execute key projects behind the scenes.
• Research and solve open-ended problems (e.g. “Find 3 top agents for a spiritual book” or “What’s the best way to structure this new nonprofit?”)
• Manage calendar, appointments, travel, and speaking logistics across time zones
• Track priorities, deadlines, and moving parts across multiple personal and professional projects
• Maintain essential systems (passwords, business docs, taxes, gifting)
• Filter noise, protect deep work time, and bring structure to creative chaos
• Offer occasional input or reflection as a strategic sounding board
BUSINESS & AGENCY OPERATIONS
You’ll help run the operational core of the agency—ensuring delivery, organization, and execution across client work and internal initiatives.
• Own internal operations: build and manage workflows (Monday, Notion, etc) and set project cadences
• Draft simple decks, proposals, SOPs, or creative briefs
• Handle admin tasks like EIN filings, contract tracking, invoice coordination, basic bookkeeping
• Coordinate with vendors, contractors, and collaborators (from editors to location scouts)
• Keep agency docs organized (Google Drive, Dropbox, Notion)
• Manage timelines, content calendars, and project handoffs
• Research and connect with potential partners, podcast/book guests, or strategic allies
• Assist with the production of short-form and long-form content when needed
Bonus (if you have a strategic or entrepreneurial mindset) – if you enjoy thinking on a higher level, you’ll also:
• Brainstorm new systems or opportunities with the founder
• Spot inefficiencies and suggest better ways of working
• Support light research or analysis related to business decisions, launches, or growth strategies
QUALIFICATIONS
You must be:
- Exceptionally organized, proactive, and fast-executing
- Comfortable working across many moving parts and contexts
- Able to handle ambiguity and solve problems independently
- An excellent English communicator (written & verbal)
- Emotionally intelligent, self-managing, and deeply trustworthy
- Technically proficient and able to work across various tools like Notion, GSuite, Slack, Loom, etc.

Salary:
$1,500–$2,200/month (depending on experience and performance in trial phase)

TEST TASK
You're helping the founder prepare to publish a book about his past experiences on YouTube and media, severe burnout & subsequent healing, and the deep importance of nurturing authentic soulful artistry and spirituality in today's age dominated by noisy social media and big tech. He needs to find a literary agent who gets it.
Find 3 literary agents based in the U.S. who could be a strong fit. For each, include:
- Name and agency/org
- Why they’re a fit
- A sample outreach
Organize this clearly in a Google Doc or Notion page.
