We are seeking a detail-oriented, highly organized Part-Time Administrative Assistant to support a catastrophe insurance adjuster. This position is ideal for someone who is proactive, tech-savvy, and able to manage multiple tasks efficiently. You will handle the administrative side of claims processing, scheduling, and communication so the adjuster can focus on fieldwork.
Responsibilities:
Call customers to confirm and reschedule appointments.
Use mapping software to schedule in-person visits and create efficient routes.
Add, update, and manage appointments in shared calendars.
Clean, organize, and sort Gmail inboxes for better workflow.
Take notes during calls or meetings and transfer handwritten notes into digital form.
Upload photos from hard drive into Xactimate for review.
Enter claim notes into XactAnalysis.
Upload reports, estimates, and supporting documents to client systems.
Answer incoming calls, reply to text messages, leave voi
Coordinate with policyholders, contractors, supervisors, and file writers.
Draft and send professional correspondence.
Track inspection schedules, deadlines, and claim progress.
Organize digital and physical claim files, ensuring documents are properly labeled and stored.
Keep accurate logs of receipts, mileage, and expenses.
Maintain records of deployments and assignments.
Review files for accuracy and completeness before submission.
Create and manage a daily schedule for field adjusters.
Photo/Document Quality Control
Double-check uploaded photos for clarity and correct labeling before submission.
Ensure diagrams and supporting documents are attached correctly.
Ensure all files are stored securely and confidentially.
Qualifications:
Previous administrative or office support experience preferred.
Strong organizational and multitasking skills.
Excellent verbal and written communication.
Proficiency in Google Workspace (Gmail, Calendar, Drive).
Comfortable with technology, mapping software, and claim systems (experience with Xactimate/XactAnalysis is a plus).
Ability to handle sensitive information with confidentiality.
Detail-oriented with strong follow-through.
Job Type: Part-Time (with potential for more hours during peak catastrophe season)
Schedule: Flexible; availability during standard business hours required.
