Ohio Top Construction is hiring a detail-driven Operations Coordinator to own our back-end project operations. You’ll be the day-to-day power user of JobTread, keeping budgets accurate, permits moving, invoices out, and communication tight so our field crews can focus on production.
What You’ll Do
JobTread Administration
Build and maintain jobs, phases, budgets, and schedules
Track job costs (POs, receipts, vendor invoices) and keep budget vs. actuals current
Manage change orders and client approvals
Billing & Financial Ops
Prepare and send invoices/progress bills; track A/R and follow up on late payments
Reconcile vendor bills and receipts with JobTread/QuickBooks (or equivalent)
Produce weekly cost reports and WIP-style snapshots for leadership
Project Controls & Reporting
Post daily logs with photos, notes, and manpower
Generate weekly project reports (schedule, risks, open items)
Maintain document control: contracts, COIs, sub agreements, close-out packets
Permitting & Compliance
Prepare and submit permit applications; coordinate inspections with local Ohio municipalities
Keep licenses/registrations/COIs current for subs and vendors
Communication & Scheduling
Coordinate material orders and deliveries; issue POs
Update clients on milestones and selections/allowances
Keep the master schedule current; flag risks early
What You’ll Bring
2+ years in construction ops/coordinator, PM assistant, or similar (residential remodeling preferred)
JobTread experience (or Procore/Buildertrend/etc. with fast ramp-up)
Strong spreadsheets and basic accounting (cost coding, accruals, A/R)
Familiarity with Ohio permitting and inspection processes
Excellent written communication, organization, and follow-through
Able to read plans, specs, and scopes at a practical level
Nice to Have (Bonus Points)
Background in architecture, construction tech, or estimating
QuickBooks experience
