JOB OVERVIEW

Overview

We are seeking an experienced Sales/Bid Proposals Specialist to support our sales team. This individual will be responsible for researching, writing, coordinating, and submitting competitive bids, RFP responses, and sales proposals. The specialist will work as a partner/resource, ensuring high-quality deliverables that align with our company’s brand, goals, and compliance requirements. In this critical role, it will be the responsibility of the Bid Proposals Specialist to ensure company processes are followed.

*Key Responsibilities

*Proposal Management

Review, analyze, and interpret bid documents, RFQs, and RFPs.

Develop and manage proposal timelines, deliverables, and submission requirements.

Write, edit, and format proposal responses in line with company messaging and bid specifications.

Coordinate with internal stakeholders (sales, technical, operations) to gather content.

Ensure all proposals meet compliance, formatting, and submission deadlines.

*Sales Support

Prepare customized sales proposals, quotes, and supporting documentation.

Maintain a library of proposal templates, boilerplate content, case studies, and resumes.

Track bid wins/losses and provide feedback for continuous improvement.

*Research & Intelligence

Monitor public and private bid portals for relevant opportunities.

Conduct background research on potential clients, competitors, and market trends.

Summarize requirements and provide go/no-go recommendations.

*Collaboration

Act as an outsourced extension of the sales team, participating in virtual check-ins and strategy sessions as needed.

Ensure consistency of brand, tone, and compliance across all submissions.

*Qualifications

Proven experience in RFP/RFQ/proposal writing (preferably in IT, technology solutions, or government/education contracts).

Strong written communication and editing skills with attention to detail.

Knowledge of procurement processes in public sector and/or enterprise accounts.

Ability to manage multiple projects simultaneously and meet strict deadlines.

Proficiency with tools such as Hubspot, Microsoft Office, Adobe Acrobat; experience with proposal management platforms a plus.

Familiarity with contract vehicles, cooperative purchasing agreements, and public sector compliance is highly desirable.
