About Us:
We are a fast-moving operational team managing a construction company. Our work is detail-heavy, deadline-driven, and requires someone who thrives on organization, persistence, and problem-solving.
The Role:
We don’t just want a Virtual Assistant. We want “The Boss.” ? We like to operate like our virtual assistants are in full control. Reason being, they tell us what we are supposed to be doing when!
This role is about managing project boards & bids, keeping everyone accountable, and making sure nothing slips through the cracks. You’ll manage the bid process, direct people to deliver what you need, and drive the business forward.
You don’t need construction or government contracting experience (although a great plus) — we’ll train you on the specifics. What we care about most is your confidence, leadership, and persistence.

You’re confident enough to step in - learn the position, ask questions & then manage!
You’re not afraid to be wrong and course-correct quickly.
You’re detail-oriented and methodical.
You have strong research skills and can dig into details to find answers.
You follow up relentlessly (yes, even if it means being “annoying”).
You’re comfortable giving direction and holding others accountable.
You’re comfortable being on the phone if needed to call a procurement officer or answer a call for a client.

What We are NOT Looking For:
Just a social media manager, there are some social media tasks - but I need a STRONG ADMIN
I don’t want someone who has only managed
I cannot babysit; you must be an action taker
We cannot read minds; you must ask questions
What You’ll Do:
Manage our client & report back to us.
Create a meeting agenda for tea
Handle administrative tasks the CEO needs help with.
Manage and coordinate the bid process for federal and local construction contracts.
Gather, organize, and prepare bid documents (templates, forms, compliance paperwork).
Research bid opportunities, requirements, and background details.
Track deadlines for all projects and keep the team accountable to deliver inputs on time.
Communicate with vendors, subcontractors, and internal tea
Keep systems, files, and tasks organized and easy to find in our GHL white label.
Qualifications:
Strong research and organizational skills.
Excellent communication and follow-up (you get things done).
Comfortable leading and directing others.
Tech-savvy and able to learn new systems quickly.
Confident, resourceful, and proactive problem solver.
Prior experience in business operations, project coordination, or virtual assistance is a plus.
