Do you thrive in providing top-level support to executives and keeping operations running smoothly? Rose Legal Services LLC is seeking a full-time Executive Assistant to the Leadership Team to join us remotely.

The Executive Assistant to the Leadership Team will provide high-level administrative support to the CEO and COO, helping to ensure seamless day-to-day operations. The ideal candidate is highly organized, professional, tech-savvy, and capable of managing multiple tasks with precision and discretion. The person selected for this role will play a key role in helping leadership stay focused, informed, and efficient.

Key Responsibilities
Administrative Support
• Manage calendars, coordinate meetings, and schedule appointments
• Prepare and organize documents for internal and external meetings
• Handle incoming and outgoing correspondence on behalf of executives
• Coordinate travel arrangements and prepare detailed itineraries
Operational Coordination
• Track and follow up on action items and deadlines
• Help prepare internal reports, presentations, and project summaries
• Maintain filing systems (digital and physical) and confidential records
• Liaise with vendors, service providers, and internal tea ---------- mbers
Communication
• Serve as a professional point of contact between leadership and staff, clients, partners, or other stakeholders
• Draft internal memos, meeting notes, and summary emails
• Help coordinate communications during firm-wide initiatives and events
• Manage the CEO’s e-mail
Project Support
• Assist with special projects, including research, data gathering, and report drafting
• Monitor progress of operational or legal projects and provide regular updates
• Help support recruiting, onboarding, or HR-related processes as needed
This person will train on every position in the firm and learn every role. The person selected for this position may fill in as a “floater” from time to time, but the main purpose of learning every role in the firm is to acquire a total understanding of the firm’s operations so that he or she can help improve them.
The successful candidate will become part of the Executive Team and will work with the CEO and COO on a daily basis.

Requirements:
The ideal candidate for this role will possess:
• Proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership.
• Strong organizational skills with excellent attention to detail and the ability to manage multiple priorities.
• Exceptional written and verbal communication skills.
• High level of professionalism, discretion, and confidentiality in handling sensitive information.
• Tech-savvy with proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and other productivity tools.
• Comfortable coordinating meetings, managing calendars, and handling correspondence on behalf of executives.
• Reliable internet connection and ability to work effectively in a remote environment.
• Strong problem-solving skills and a proactive, collaborative mindset.

Candidates with a J.D., M.B.A., and/or prior Executive Assistant experience are strongly encouraged to apply.
