Position: Executive Assistant (with MBA/Law background, Marketing Flair & AI Expertise)
Location: Remote (Philippines-based)
Type: Full-time, long-term

About the Role

We are searching for a world-class Executive Assistant who blends executive support, marketing strategy, and legal/technical acumen with modern AI expertise. This is not a standard admin role—you will be the CEO’s right hand, leveraging AI and automation to simplify, streamline, and amplify both his day-to-day and the company’s operations.

You’ll work directly with the CEO of a fast-growing Canadian infrastructure company, ensuring he is focused on the highest-value activities while you anticipate needs, create efficiencies, and deliver polished outputs.

Responsibilities

Inbox Management

Organize and prioritize CEO’s inbox daily.

Use AI tools to draft responses, summarize emails, and flag key opportunities.

Ensure timely follow-ups and clean handoff of critical communications.

LinkedIn & Business Development

Manage and update LinkedIn with engaging, educational content (AI-assisted content drafting).

Identify leads, spark conversations, and nurture relationships towards meetings.

Use automation/AI to track outreach and follow-up sequences.

Calendar & Scheduling

Actively manage and optimize CEO’s calendar.

Refine Calendly workflows and use AI to flag conflicts or recommend optimal scheduling.

Ensure the calendar is filled with high-value activities and ensuring CEO is always reminded of commitments.

Marketing & Design Support

Create marketing materials, ads, and social posts (AI + Canva/Adobe workflows).

Assist in designing trade show booths and systems for lead capture/follow-up.

Automate trade show lead tracking into CRM systems.

Contracts & Documents

Draft, review, and refine simple agreements/contracts.

Use AI tools to summarize, compare, and generate technical or legal documents.

AI & Automation Leadership

Continuously identify opportunities to automate tasks—both yours and the CEO’s.

Build workflows using AI tools (e.g., ChatGPT, Zapier, Make, Notion AI, etc.) to streamline operations.

Stay ahead of trends in AI and productivity tech, advising the CEO on ways to gain leverage.

Strategic Support

Anticipate CEO’s needs and proactively remove friction from his day.

Help implement personal productivity systems (health, scheduling, knowledge management).

Be a creative and strategic thought partner.

Requirements

Based in the Philippines but serving a Canadian company.

MBA, Law degree, or equivalent combination of advanced education and experience.

Strong English communication skills (written & spoken).

Demonstrated experience with AI tools for productivity, content creation, research, and automation.

Experience with marketing, social media management, or business development.

Familiarity with automation tools (Zapier, Make, Google Workspace automations, etc.).

Strong organizational skills and proactive problem-solving.

Design ability (Canva/Adobe or similar).

Bonus Skills (Nice to Have)

Construction or legal industry experience.

Knowledge of CRM tools (HubSpot, Zoho, Salesforce).

Familiarity with trade show/event marketing.
