JOB OVERVIEW

Elite Disaster Consulting is seeking a detail-oriented and experienced Proposal Coordinator to join our dynamic team. The successful candidate will be responsible for managing the entire proposal development process, from initial opportunity identification through final submission. This role is critical to our business development efforts and requires someone who can work effectively under tight deadlines while maintaining the highest quality standards.

Key Responsibilities:

Proposal Management

- Coordinate and manage the end-to-end proposal development process for disaster recovery, emergency management, and consulting services
- Develop and maintain proposal schedules, ensuring all deadlines are met
- Create and manage proposal databases, tracking systems, and compliance matrices
- Facilitate proposal strategy sessions and kick-off meetings with technical teams

Content Development & Quality Assurance:

- Write, edit, and format compelling proposal narratives that clearly articulate our capabilities and value proposition
- Collaborate with subject matter experts to develop technical content and past performance examples
- Ensure all proposals meet RFP requirements and comply with formatting guidelines
- Conduct thorough reviews for accuracy, consistency, and compliance before submission

Research & Analysis:

- Analyze RFPs, RFIs, and other solicitation documents to identify requirements and opportunities
- Research potential teaming partners and subcontractors for strategic partnerships
- Maintain competitive intelligence on industry trends and competitor activities
- Support go/no-go decision-making processes with detailed opportunity assessments

Administrative Support:

- Manage proposal libraries, templates, and standard content repositories
- Coordinate delivery of proposal submissions
- Maintain relationships with key stakeholders including clients, partners, and vendors
- Support post-submission activities including debriefings and lessons learned sessions

Required Qualifications:

- Experience in proposal development, preferably in consulting, government contracting, or disaster recovery services
- Excellent written and verbal communication skills with strong attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Project)
- Experience with proposal management software and CRM systems
- Strong project management skills with ability to manage multiple proposals simultaneously
- Experience with graphic design software (Adobe Creative Suite, Visio, etc.)
- Background in technical writing or marketing communications
