Specialty medical office in US (Central Time Zone) seeks a Healthcare Virtual Assistant (HVA) to join our team. We have over 5 years experience working with HVAs from the Philippines and admire their work ethic. We are searching for an energetic healthcare Healthcare Virtual Assistant (HVA) to join our team.
The HVA will support our physician and staff through highly organized tasks as well as clear, effective, internal and patient-facing communication. The target is to complete all tasks accurately, and in a timely manner, ensuring the highest patient and practice satisfaction. Training will be provided during onboarding.
The role is for 40 hours per week during our business hours from 8:30 AM to 4:30 PM Central Time Monday through Friday. You will be working side-by-side with another HVA answering phones. Our phone line is open during this time. The HVA shall assist our practice with five primary responsibilities.
1) Scheduling Patient Appointments in EHR (incoming via phone, fax, and online form submissions)
2) Verifying Insurance Eligibility and Benefits (through online payer portals such as Availity,
3) Handling Patient Questions (through phone)
4) Sending Electronic Medication Orders to Pharmacies (through EHR)
5) Miscellaneous Administrative Duties (through EHR and
Skill sets
The position requires the following skillsets –
This is NOT an Entry level role. This role requires a) patient facing appointment scheduling skills PLUS b) non-patient facing insurance verification and other admin skills. Do not apply if you only have experience with only one.
- MUST have at least 1 year experience working as a virtual assistant for a US-based medical practice handling scheduling AND insurance verification. This is non-negotiable. If you have only handled one, please do not apply.
- MUST be deeply familiar with ICD-10, CPT terminology, and US health insurance terminology (Max out of pocket, Deductibles, Copays, Coinsurance)
- MUST be familiar navigating insurance portals to verify benefits (e.g., Availity, Cigna, UHCprovider, etc.)
- MUST have experience with Commercial plans, Medicare Part B, Medicare Advantage plans and HMO plans requiring PCP Referrals.
- Highly proficient in using medical Electronic Health Record (EHR) systems. If you only have dental or behavioral health or veterinary experience, it does not translate well to medical. Please do not apply.
- Experience in DrChrono EHR is a plus.
- Highly proficient in accurately verifying insurance eligibility and benefits.
- Excellent written and oral English communication skills
- Neutral / American accent to effectively communicate with US patients
- Skilled at handling stressful patient situations (e.g., charging no-show fee) with composure and professionalism
- Display attention to detail in their actions with the goal to provide the best patient care possible
- Excellent time management skills and ability to multi-task and prioritize work
- Team player mentality to work with other practice business staff
- At least 300 Mbps Internet and a PC with the latest Windows OS, Bluetooth headset with excellent speaker and microphone quality
