Podcast Guest Booking Coordinator

AEC Growth is seeking a proactive and persistent Podcast Guest Booking Coordinator to build our guest pipeline and manage the entire booking process for our industry-focused podcast. You'll be responsible for identifying, reaching out to, and securing high-quality guests who can provide valuable insights to our AEC (Architecture, Engineering, Construction) audience.
What you'll do:

Research and identify 20-30 potential guests per month aligned with our content calendar and audience interests
Craft personalized outreach messages that highlight mutual value and increase response rates
Manage multi-touch follow-up sequences across email, LinkedIn, and other channels
Coordinate scheduling between guests and host, handling timezone complexities and rescheduling needs
Maintain a CRM/tracking system for all guest communications and pipeline status
Brief guests on podcast format, technical requirements, and prepare them for recording
Build relationships with industry thought leaders for future opportunities
Track and report on outreach metrics (response rates, booking rates, show-up rates)
Develop templates and systems to scale the booking process efficiently

You're the right fit if you:

Have 1-2+ years of experience in podcast production, guest coordination, or B2B outreach
Possess excellent written communication skills with ability to craft compelling, personalized messages
Are persistent without being pushy - comfortable with follow-ups and handling rejections
Have strong organizational skills to manage multiple guest conversations simultaneously
Understand how to research and qualify potential guests for relevance and audience value
Can work independently in US timezones and maintain consistent communication
Have experience with CRM tools, calendaring systems, and email automation
Bonus: Familiar with the AEC/construction industry or B2B technical content
Bonus: Have existing relationships with business leaders, authors, or industry experts
