Logistics & Operations Virtual Assistant

We’re looking for a Logistics & Operations Virtual Assistant to take full ownership of our global logistics function. This is a high-responsibility role where you’ll manage critical operations end-to-end, helping us scale efficiently and compliantly across international markets.

Key Responsibilities
You’ll be the backbone of our logistics and operations, overseeing:

Global Entity Setup & Compliance
* Support US entity setup (e.g. LLC) and ensure international compliance
* Implement shipping processes for goods produced in China
* Help assess whether onboarding partners like Global-e is more effective than internal management

DHL Shipping & Duty Management
* Manage our DHL account, monitoring billing, shipments, and customs
* Investigate high shipping costs, discrepancies, and overcharges
* Own VAT, duties, and tariff systems for key markets

Shopify & Backend Operations
* Maintain accurate HS codes and country of origin for all products
* Manage Shopify shipping settings, rules, and compliance
* Troubleshoot Shopify/ShipHero shipping issues

3PL & Inventory Oversight
* Act as main liaison with our fulfilment partner (Future Fulfilment)
* Handle fulfilment issues (mis-picks, delays, damaged stock – not customer service)
* Coordinate and organise 3PL move to offshore
* Coordinate inventory tracking and audits across SKUs and regions

Billing & Issue Resolution
* Investigate overcharges or warehouse duty errors (DHL, fulfilment)
* Flag issues for bookkeeper to reconcile or escalate

What We’re Looking For
* Strong background in logistics operations, e-commerce, or international shipping
* Experience with Shopify and 3PL management
* Highly organised, detail-oriented, and process-driven
* Confident communicator with problem-solving skills
* Able to work independently and proactively take ownership
