JOB OVERVIEW

About Me

I’m an entrepreneur in Ontario, Canada, currently transitioning from a sole proprietorship to an incorporated business. I run multiple projects, and things can get messy if they aren’t organized. I need someone who doesn’t just “wait for tasks” — I need someone who can take charge, anticipate what needs to happen, and set up systems so I don’t fall behind.

I’m ADHD, which means I thrive when I have someone who can simplify, keep me on track, and handle details without me having to manage every step.

What You’ll Do

This is a hybrid role of bookkeeping and business operations support.

Finance & Bookkeeping:

Sort, organize, and categorize business and personal expenses (sole prop vs. new corporation).

Keep QuickBooks Online or Wave updated and reconciled weekly.

Create clear weekly/monthly reports (ADHD-friendly summaries, not overwhelming spreadsheets).

Prepare summaries for my accountant (Canada-based tax reporting).

Track HST deadlines, payroll (if applicable), and invoices — and remind me when things are due.

Operations & Admin:

Design and maintain systems (Google Drive, task checklists, calendars) so I stay organized.

Send client payment reminders and follow up on invoices.

Flag missing receipts or documents — and chase them down without me having to remember.

Prepare simple dashboards that show me at a glance where I stand (finances + priorities).

Anticipate what needs to happen and set it up for me before I ask.

Skills You Need

Strong bookkeeping experience (QuickBooks Online, Wave, or Xero).

Experience working with entrepreneurs (bonus if you’ve supported ADHD clients).

Excellent organizational skills and ability to set up systems independently.

Strong Google Sheets / Excel skills.

Clear written communication (you can send reminders in a way that feels supportive, not overwhelming).

High level of trustworthiness and confidentiality.

Workload

Part-time: 5–10 hours per week to start.

May increase as business grows.

Weekly update/report every Monday, with flexibility on your schedule.

About You

You love turning chaos into structure.

You’re proactive — you don’t wait to be told, you set it up and then let me know what’s done.

You understand how ADHD entrepreneurs work and can adjust communication to keep things simple.

You’re detail-oriented, but you also know how to create big-picture clarity.

You’re looking for a long-term role where you can grow with the business.

How to Apply

Please send me:

A short introduction about your bookkeeping and operations experience.

An example of a system or process you’ve set up for a past client.

Which bookkeeping software you’re most comfortable with.

Your expected hourly rate (in PHP).
