JOB OVERVIEW

About Us
We are a real estate investment team focused on buying self-storage properties across the U.S. We’re looking for a tech-savvy Virtual Assistant to help us build, organize, and customize our CRM before we scale into research and calling.

Responsibilities
Set up CRM ( ---------- preferred, or ---------- if that’s your specialty)
Build custom fields: property details, owner contacts, skip-trace results, population data, deal metrics
Create pipeline stages (New, Researching, Skip-Traced, Attempting Contact, Connected, Nurture, Underwriting, Offer, LOI Sent, Negotiation, Under Contract, Closed Won, Closed Lost, DNC)
Add call outcomes/dispositions (Interested, Not Now, Not Interested, No Answer, Voicemail, Wrong Number, Bad Data, DNC)

Design workflows/automations:
When “Interested” ? notify acquisitions team + assign tasks
When “Not Now” ? auto-set follow-up in 2 weeks
When “Not Interested” ? create 30-day task
When “No Answer” ? reschedule attempt in 10–14 days
If property

Create import templates (CSV) so future VAs can add data easily
Build Smart Views/Boards for: “Calls Due Today,” “Hot Leads,” “Follow-ups This Week,” “Bad Data,” etc.

(Optional) Integrate with Google Sheets or Zapier/Make for reporting

Requirements
Strong experience building CRMs ( ---------- , ---------- , HubSpot, GoHighLevel, or similar)
Ability to create pipelines, custom fields, and automations from scratch
Organized and detail-oriented — can document SOPs so future VAs follow the system correctly
Fluent English (written) for clean field naming and instructions
Reliable internet and ability to meet deadlines

Work Schedule
One-time setup project (10–20 hours) with potential ongoing maintenance
Flexible hours; availability for check-ins during U.S. Eastern business hours preferred
