JOB OVERVIEW

This is not your average PA role.

ok so we’re looking for someone sharp, fast, and two steps ahead - who can take chaos and turn it into clean, calm systems. If you're obsessed with organization, love structure, have an aesthetic eye, and genuinely enjoy making life easier for someone else - we want you. This is you being the most trusted person to a successful CEO couple…!

???? DAILY + WEEKLY TASKS

Keep our calendar updated and clean - plan meetings, podcasts, content shoots, travel, and personal time around our best working hours

Set reminders for everything important (calls, flights, workouts, appointments, recordings)

Manage our inbox, flag collabs, podcast invites, and time-sensitive emails

Coordinate and confirm brand and podcast collaborations

Help us plan the week ahead, prep to-do lists, track follow-ups

Keep shared files, folders, and Notion pages organized so we always know where to find what

?? TRAVEL COORDINATION

Book flights, hotels, cars, villas for us, the kids, and our staff

Organize visas for household staff (maid, chef, nanny) when traveling (Europe, Asia, etc.)

Find and hire local help at each location - nannies, cleaners, chefs, massage therapists, drivers

Plan travel itineraries: where we’re staying, where we’re shooting, what we’re doing

Coordinate airport pickups, luggage help, and day-to-day needs while away

Build and update a list of go-to people in each city: videographers, stylists, babysitters, chefs

????HOME & DUBAI LIFE SUPPORT

Book trusted home services - cleaning, repairs, maintenance, handymen, AC, etc.

Handle Amazon orders, deliveries, home errands

Find and book beauty and wellness appointments - spa, nails, facials, massage (in-home or outside)

Research and recommend shoot locations for content shoots & meetings that also have space to play for toddlers

Help manage and organize home spaces, household needs, and restocking

???? KIDS & FAMILY PLANNING

Research and book sports, playgroups, or classes based on age and location

Organize fun activities or family-friendly places for weekends and short trips

Coordinate childcare or supervision during shoots, meetings, or travel

Source babysitters or extra support when needed

???? CONTENT, COLLABS & SHOOTS

Book and manage videographers, photographers in Dubai or wherever we’re traveling

Scout aesthetic shoot locations (bonus if kid-friendly)

Coordinate brand collabs and podcast guests - handle scheduling, emails, and reminders

Handle all podcast logistics: guest communication, calendar coordination, reminders, and prep

Keep a clear record of who we’re collaborating with and what stage everything is in

???? HOUSE + INTERIOR SUPPORT

Turn Pinterest vision boards into shopping lists

Example: “Here are 4 lamp options that match this look, with links + prices”

Order and track Amazon/local items, handle returns if needed

Assist with interior styling choices - should have a natural eye for good taste

Organize quotes, bookings, and follow-ups for furniture or home upgrades

???? PERSONAL LIFE & LIFESTYLE

Plan and book gym classes, yoga, wellness retreats, personal trainers

Help with date night planning, mini holidays, and staycations

Source and book stylists, tailors, hair/makeup artists

Order clothing, manage returns, or create shopping lists by style/event

Source gifts for family, clients & friends

Suggest and organize "life upgrades" - like skincare, gifts, or quick wellness getaways

???? ORGANIZATION & RESEARCH (YOUR SUPERPOWER)

Don’t info dump - your job is to filter and simplify

Present top 3 options with key details, pros/cons, and links so we can make decisions in 30 seconds or less

Build and update Notion dashboards for everything - travel, lifestyle goals, podcast schedule, even wardrobe

Keep track of what’s been ordered, confirmed, followed up, and what’s still pending

???? TOOLS YOU MUST KNOW

Google Workspace (Calendar, Gmail, Docs, Sheets)

Notion (you should love using it - we’ll ask for samples or proof)

Slack / WhatsApp (daily comms + reminders)

ChatGPT - use it to research faster and generate options - but always fact-check before sharing with us!!

Bonus: Basic Canva or Google Slides for visual lists or quick moodboards
