Role Overview

We’re hiring a meticulous and resourceful Event Research Assistant to join our team and support our event procurement operations. This is a non-sales, non-outreach role focused on research, location sourcing, and detailed documentation of event opportunities that match each client’s goals and aesthetic.

If you love organizing information, researching local happenings, and curating high-potential opportunities, this is a perfect fit—especially if you have experience in event planning, travel coordination, or virtual assistance.


Responsibilities

Client Understanding & Area Mapping
• Review each client’s services, ideal audience, and brand positioning
• Identify geographic areas where each client is willing to operate or travel to
• Track distance, zip codes, and other location-based filters for sourcing

Event & Venue Discovery
• Research and source events: festivals, pop-ups, local markets, vendor fairs, trade shows, corporate functions, etc.
• Identify venues, businesses, or organizations open to collaborations or short-term rentals
• Assess brand alignment to ensure events match each client’s aesthetic, audience, and price point

Contact Collection & Documentation
• Gather and organize all key information: contact names, emails, forms, deadlines, booth/vendor fees, application links, etc.
• Bookmark and organize folders with event kits, media decks, or registration documents
• Maintain a detailed and structured research tracker (spreadsheet and cloud folders)

Internal Communication & Reporting
• Share your findings regularly with our internal team
• Flag high-potential opportunities or urgent submission timelines
• Adjust your research based on team or client feedback


Key Skills & Qualifications
• Excellent research and data collection skills
• Strong organizational habits and file management
• Attention to detail, especially when documenting deadlines, contact names, or application rules
• Strong visual judgment—able to assess whether an event or venue aligns with a brand’s style and values
• Ability to work independently, meet recurring deadlines, and prioritize across multiple accounts
• Comfortable using:
• Google Maps and other location-based tools
Facebook Events, Eventbrite, Yelp, or similar platforms
• Spreadsheets, Google Drive, Slack
• Basic use of CRM tools or Notion is a plus
• Fluent written English (C1 or higher)
• Background in event planning, travel research, hospitality, or VA work is a strong plus

• Have worked as a travel coordinator, event planner, or executive virtual assistant
• Enjoy discovering hidden gems and curating experiences
• Have supported creative service providers or small business owners in the past
• Know the difference between local craft fairs, luxury pop-ups, and high-end brand collaborations
• Are naturally curious and proactive about finding better-fit opportunities


Schedule
• Full-time (40 hours per week)
• Monday to Friday – CST business hours preferred


Compensation
• Hourly rate: $3–6 USD, depending on experience
• Paid weekly or monthly depending on contractor preference
• Long-term opportunity with room to grow as we expand our client portfolio
