We’re a growing UGC + media content business with multiple clients and constant deadlines. We need a detail-obsessed, tech-savvy VA to manage the operational backbone of the business — UGC platform coordination, TikTok Shop orders, scheduling, and quality control. This role is essential: you’ll be the one keeping projects moving so our creators can stay fully focused on making content.
Responsibilities
TikTok Shop Management – Handle briefs, orders, and messages; track deadlines; confirm deliveries; manage revisions.
Platform Coordination – Manage inbound jobs across Fiverr, Upwork, JoinBrands, Billo, Trend, and Insense; keep a master tracker updated.
Scheduling & Accountability – Own the production calendar for shoots, edits, and deliveries; send reminders and ensure deadlines are never missed.
Quality Control – Double-check media files, formatting, captions, and links before delivery.
Client Communication – Send proposals, confirmations, and follow-ups in professional English.
Admin & Billing – Manage invoices, payments, and usage rights tracking.
Social Media Support – Organize content libraries, captions, hashtags, and schedule posts.
File & Asset Management – Keep Google Drive organized with clear naming conventions and folders by client/project.
Process Documentation – Create/update SOPs to ensure tasks stay consistent and scalable.
Requirements
Hands-on experience with TikTok Shop or other UGC/content platforms.
Extremely detail-oriented (quality control is a must).
Strong written English and client-facing communication skills.
Tech-savvy and quick to learn new apps and tools.
Proactive, reliable, and highly organized — able to manage operations independently.
