WORK SCHEDULE
Example Split Shift – 4 hours/day
• 9:00 PM – 11:00 PM PHT (to support 9:00 AM – 11:00 AM ET)
• 7:00 AM – 9:00 AM PHT (to support 7:00 PM – 9:00 PM ET)
This schedule aligns with the family’s daily rhythm — daytime operations and evening wrap-up. Flexibility and responsiveness during these hours are expected.
WHAT YOU’LL DO
Inbox & Communication
• Review daily
• Draft responses and
• Make inquiries or send follow-ups on the family’s behalf
Calendar & Scheduling
• Create calendar invites and update shared calendars
• Schedule personal appointments, meetings, family activities, and services
• Ensure conflicts and overlaps are resolved quickly
Household & Personal Support
• Track online orders and returns
• Pre-fill Instacart grocery orders and monitor pantry/fridge needs
• Manage household subscriptions (e.g., diapers, wipes, supplies)
• Keep a pulse on upcoming birthdays, appointments, travel, and school tasks
Research
• Research gift ideas, personal products, recipes, services, classes, etc.
• Compare options and summarize top recommendations
• Provide ready-to-execute info (links, availability, costs)
Task & Info Organization
• Maintain running to-do lists, trackers, and reminders
• Organize personal/family documents, forms, and notes
• Create and manage SOPs/checklists for everyday tasks
Catch-All Assistance
• Fill out forms and submit applications
• Help with school tasks, wellness tracking, and other personal projects
• Be available to help problem-solve in real-time and follow through without needing to be chased
WHO YOU ARE
• Excellent written English; clear, professional communicator
• Experienced assistant or admin with a proven track record
• Organized, reliable, and obsessed with details
• Strong problem-solver who figures things out independently
• Tech-savvy (Instacart, Amazon, etc.)
• Bonus: Experience supporting U.S.-based families or executives
