About the Role
We are seeking a detail-oriented and proactive Assistant Project Manager (APM) to support our team in managing commercial and institutional lighting and controls projects. Unlike traditional electrical contracting roles, this position is tailored for the lighting distribution side of project management. The APM will coordinate between manufacturers, reps, contractors, and internal teams to ensure timely and accurate execution of project deliverables—from submittals and purchase orders to delivery scheduling and invoicing.
Key Responsibilities
Project Coordination
Assist Project Managers in executing lighting and controls projects from award through closeout
Maintain project trackers for schedules, deliveries, and order status
Coordinate with manufacturers and reps to confirm pricing, lead times, and order accuracy
Assist in managing submittals, shop drawings, RFIs, and change orders
Track project milestones and ensure all deadlines are met
Order & Material Management
Issue purchase orders to manufacturers and reps
Track order acknowledgements, shipping schedules, and delivery confirmations
Maintain accurate records of fixture counts, substitutions, and change order impacts
Assist in resolving discrepancies (short shipments, damages, incorrect material)
Financial / Administrative Support
Support Accounts Payable/Receivable by reconciling project invoices with POs and deliveries
Help maintain budget tracking and profitability reports for each project
Assist in project billing cycles and preparation of client invoices
Provide weekly project status updates to senior management
Qualifications
Bachelor’s degree or equivalent experience (Electrical Construction Management, Engineering, Business preferred)
1–3 years of experience in electrical, lighting, or construction project management (distribution or contracting side)
Familiarity with lighting fixtures, controls systems, and electrical drawings preferred
Proficiency in
Candidates should be able to create and manage dashboards, project trackers, and reporting tools within these platforms
Please provide examples of past project boards, trackers, or workflows you have built or managed in
Strong organizational skills and ability to manage multiple projects simultaneously
Proficiency in MS Office, Excel/Google Sheets; familiarity with ERP systems a plus
Excellent communication skills for interacting with contractors, reps, and manufacturers
