The Role

We’re looking for a Legal & IP Manager to oversee all legal operations — from managing trademarks and copyrights to crafting airtight contracts and keeping our entities in compliance. You’ll work closely with the CEO to safeguard our creative works, AI tools, and publishing projects while ensuring our legal frameworks are strong, clear, and values-driven.

Note on Jurisdiction: Our entities are registered in the United States, and this role primarily involves U.S. intellectual property, contract, and compliance law. You will work within U.S. systems (e.g., USPTO, ---------- ) and coordinate directly with our U.S.-based attorney for escalations. While we sell globally and may expand protections internationally, the priority is securing and maintaining strong U.S. legal protections while staying aware of international IP considerations.

Key Responsibilities

Intellectual Property
- Create, maintain, and update the IP tracker (trademarks, copyrights, patents, licensing, trade dress)
- Draft and submit trademark applications for names, logos, slogans, products, and sub-brands
- File and register copyrights for books, visuals, software, courses, digital tools, and marketing assets
- Prepare and maintain patent documentation; coordinate filings when applicable
- Monitor for brand impersonation, infringement, counterfeit products, unauthorized AI model training, and domain squatters
- Oversee domain acquisitions, renewals, and brand protection measures
- Draft and issue cease & desist letters, licensing agreements, and usage policies
- Maintain a library of approved brand usage guidelines for internal and partner reference
- Track IP deadlines (renewals, oppositions, responses) to avoid loss of rights
- Coordinate with U.S. counsel for escalations, disputes, and complex filings
- Develop and oversee international IP strategy for global brand protection

Contracts & Agreements
- Review, draft, and standardize contracts using brand-consistent, legally sound language
- Maintain master templates (NDAs, service agreements, licensing, publishing, collaboration)
- Track contract lifecycles: negotiation, execution, status, expiration, renewal
- Maintain secure archives with version control and change logs
- Flag and track obligations, milestones, and deliverables for timely follow-up

Compliance & Documentation
- Maintain all official entity documents (LLCs, DBAs, nonprofit registrations, EINs, operating agreements)
- Draft and update privacy policies, refund terms, disclaimers, and internal compliance guidelines
- File annual reports, renewals, permits, and licenses on time
- Oversee a centralized Legal & Compliance knowledge base
- Ensure AI tools, data storage, and automation meet GDPR, CCPA, and other relevant data protection laws
- Maintain consent and user agreement records for all digital products

Risk Management

- Conduct quarterly legal audits of websites, courses, and platforms to identify gaps or outdated policies
- Assess legal risks for new products, AI tools, and marketing campaigns before launch
- Implement takedown procedures for infringing or counterfeit content online
- Support publishing projects with licensing, ISBN registration, and rights management
- Maintain an i ---------- log for disputes, complaints, and resolutions

Coordination, Security & Reporting
- Serve as the point of contact between the company and external counsel
- Manage a central legal calendar/docket for all deadlines, renewals, and filings
- Maintain strict confidentiality and implement secure document handling protocols
- Keep the legal document library fully organized, searchable, and up-to-date in company-approved systems
- Flag and research compliance considerations for new markets or sales regions
- Prepare evidence or documentation for legal disputes, when required
- Provide monthly legal/IP status reports to leadership with upcoming deadlines and risk assessments
- Educate and onboard internal teams on compliance, brand protection, and IP best practices

We’re Looking For Someone Who
- Communicates clearly and confidently in English, both in writing and speaking, with excellent comprehension skills.
- Has strong experience in intellectual property management, contract law, and compliance.
- Understands creative industry legal needs, especially in publishing and digital products.
- Is comfortable navigating the legal landscape of AI tools and emerging tech.
- Can translate complex legal requirements into clear, accessible language for a creative team.
- Thrives in a fast-paced, multi-brand environment with shifting priorities.
- Believes in protecting creativity while fostering growth.

Required Skills & Experience
- 3+ years in legal, IP, or compliance management (in-house or firm experience)
- Experience with US trademark, copyright, and contract law
- Strong understanding of digital business, publishing, and/or AI-related legal issues
- Proficiency with tools like USPTO, ---------- , Google Workspace, and Notion
- Excellent organizational skills and discretion with sensitive information

Preferred
- Experience supporting creative, tech, or publishing companies
- Familiarity with neurodivergent accessibility considerations
- Knowledge of GDPR, CCPA, and AI data compliance

Compensation: $800/month (Full-Time, 40 hrs/week)
