Virtual Medical Assistant (Part-Time) – Encompass Care

About Us: Encompass Care is a growing integrative and functional medicine practice that provides patient-centered primary care through both telehealth and in-office visits. We are looking for a Virtual Medical Assistant to join our team and help manage scheduling, patient intake, and administrative tasks, so our clinician can focus on providing excellent patient care.

Key Responsibilities
• Manage patient scheduling through TEBRA/Kareo EMR (experience highly preferred)
• Assist with patient intake forms, demographics, and chart prep
• Confirm appointments (via phone, email, or text) and send reminders
• Organize and maintain patient records while ensuring HIPAA compliance
• Support front-end tasks: patient inquiries, rescheduling, portal troubleshooting
• Assist with back-end tasks: data entry, follow-up communications, light billing support
• Provide general administrative support to improve workflow efficiency

Qualifications
• Fluent in English (verbal and written) – excellent communication skills are a must
• Prior experience as a medical virtual assistant strongly preferred
• Experience with TEBRA/Kareo EMR a major bonus
• Familiarity with HIPAA guidelines and data privacy (HIPAA training required; certification a plus)
• Must be willing to sign a Business Associate Agreement (BAA) before starting
• Detail-oriented, organized, and able to multitask
• Tech-savvy – able to quickly learn EMR, scheduling, and communication tools
• Reliable internet connection and quiet work environment

Work Hours & Compensation
• Part-time (10–20 hours/week to start, with potential to grow)
• Flexible schedule, but must overlap with US Mountain Standard Time (MST) hours for patient coordination
• Competitive hourly rate based on experience
