The Administrative Assistant will play a vital role in supporting daily property management operations. This includes assisting with guest communications, coordinating maintenance schedules, tracking payments and invoices, and ensuring smooth office and client support. The ideal candidate will have prior experience in property management or hospitality, excellent communication skills, and strong organizational abilities.
Key Responsibilities:
Handle guest inquiries and provide timely communication via phone,
Assist in scheduling cleanings, maintenance, and vendor services for rental properties
Track invoices, payments, and property expenses
Maintain accurate property management records and reports
Support the management team with administrative tasks and documentation
Coordinate with owners to resolve concerns quickly and professionally
Ensure smooth same-day turnovers and support emergency scheduling needs
Qualifications:
Previous experience in property management, hospitality, or vacation rentals (required)
Experience and Knowledgeable in tools like Airbnb, VRBO, Operto, High Level
Strong organizational and multitasking skills
Excellent written and verbal communication
Proficiency with office software (Google Workspace, MS Office, or similar)
Ability to work independently and as part of a team
Customer service-oriented mindset
