About the Role
We’re seeking a high-performing, mission-aligned Executive Assistant to serve as the CEO’s right hand across multiple companies under our Holding Group (including SaaS, coaching, and GHL agency businesses). This isn’t just about scheduling calls, it’s about becoming a trusted operator, a proactive problem solver, and a force multiplier for the CEO.
The right candidate will begin as an Executive Assistant and, based on performance and trust, grow into a Chief of Staff role within 12–24 months.
Key Responsibilities
Executive Support
Own and optimize the CEO’s calendar, inbox(es), and travel/schedule coordination across time zones
Prioritize inbound requests and protect CEO’s focus on strategic priorities
Draft, proof, and manage professional communications, reports, and presentations
Serve as a gatekeeper and strategic filter for decisions, meetings, and opportunities
Project & Operations Support
Be a world-class follow-upper: track projects and ensure deadlines are met
Create, maintain, and improve SOPs, documentation, and workflows
Assist with hiring, onboarding, and team coordination across multiple businesses
Liaise with internal teams and external partners to move initiatives forward
Manage payments, invoices, vendor relationships, and update transactions in QBO
Communication & Execution
Represent the CEO with professionalism in internal and external communications
Join strategic calls/meetings, take structured notes, track action items, and ensure follow-through
Conduct research, gather intelligence, and prepare summaries to support decision-making
Leadership & Growth Track
Identify bottlenecks and propose solutions to improve efficiency across the org
Prepare dashboards, reports, and updates for the CEO and leadership team
Develop judgment and context to eventually step into a Chief of Staff role
Qualifications
2+ years experience as an Executive Assistant, Ops Manager, or Project Manager
Excellent written and verbal communication skills
Proven ability to organize complex schedules, projects, and people
High emotional intelligence, discretion, and unwavering loyalty
Strong tech comfort: HighLevel, Asana, Slack, Google Workspace, QBO, etc.
Experience supporting a founder/entrepreneur in a fast-paced environment preferred
Demonstrated ability to create SOPs, playbooks, and documentation
