About the Role

I run a specialist healthcare clinic in the UK and need a highly organised, detail-oriented Virtual Assistant to help with clinic admin and some light personal scheduling/tasks.

This is a very part-time role to start – around 8 hours per week – with potential to grow over time. You must be proactive, trustworthy, and able to work with minimal supervision.

Key Responsibilities

Clinic Admin
• Manage clinic email inbox (respond to routine enquiries, forward urgent ones)
• Send patients post-appointment advice and exercise emails (templates provided)
• Update the orthotics list in Google Drive:
• Check against billing to confirm orders
• Mark when orders have returned from the lab
• Chase the lab via email for outstanding orders

Personal Admin
• Manage diary: book appointments and classes from forwarded emails
• Add bookings to calendar and ensure no clashes
• Process forwarded emails into Asana tasks:
• Create task with deadline and link to original email
• Flag urgent items for review

Skills & Requirements
• Excellent written and spoken English
• Strong organisational skills and attention to detail
• Able to work with confidential information (NDA required)
• Experience with:
• Gmail/Google Workspace
• Asana or Trello (or similar task management tools)
• Calendar scheduling
• Reliable internet connection and your own laptop/PC

Hours & Pay
• 8 hrs/week to start
• Must be available for at least 2 hrs overlap with UK mornings (8 am–12 pm UK time)
• £4–£6/hour depending on experience, paid weekly via Wise
