JOB OVERVIEW

Full-Time | Remote | Saturday–Wednesday or Wednesday–Sunday

We’re seeking a highly organised, detail-focused, and numbers-driven Virtual Assistant to join our dynamic e-commerce team. This is a full-time, remote role supporting a friendly, fast-paced UK-based resin brand for arts and crafts.

You’ll be the first point of contact for customers over the weekend, while also assisting with inventory planning and purchasing admin during the week. If you love combining excellent customer service with data analysis and operational support, this could be the role for you.

Key Responsibilities

Customer Support (50%)

Respond promptly and professionally to customer enquiries via Shopify live chat, email, and social media

Provide clear, helpful written responses (no phone calls required)

Process refunds, replacements, and liaise with our warehouse team to resolve order issues

Identify recurring customer concerns and suggest improvements to boost satisfaction

Inventory & Operations Support (50%)

Assist with stock forecasting based on sales trends, seasonal demand, and historical data

Prepare and update purchase orders, ensuring accuracy and timely submission

Maintain stock level spreadsheets and ensure information is up to date

Analyse sales and inventory data to support business decisions

Reconcile purchase orders and invoices with supplier accounts

Perform minimal Xero accounting reconciliation (approx. 2 hours per month)

Complete general administrative tasks to keep operations running smoothly

What We’re Looking For

Exceptionally organised with a strong attention to detail

Confident in using Excel or Google Sheets for data management and analysis

Comfortable working with numbers; background in accounting, finance, or data analysis is an advantage

Proactive problem-solver who can work independently and prioritise tasks effectively

Strong written English and clear communication skills

Available to work Saturday to Wednesday (Philippines time)

Experience with Xero or similar software is beneficial

Bonus Points If You:

Have studied accountancy or a related field

Have experience in e-commerce or working with epoxy resin (not essential but a plus!)
