The Real Estate Title Coordinator plays a vital role in managing all title-related activities throughout the real estate transaction lifecycle. This position ensures smooth coordination between all parties involved, accurate and timely document processing, and strict adherence to contractual timelines and milestones. The ideal candidate is highly organized, detail-oriented, and experienced in handling real estate or title processes.
Key Responsibilities:
Open title files upon contract execution and initiate title searches with the appropriate title company or closing attorney
Communicate and follow up regularly with title companies to track title commitments, lien payoffs, HOA documentation, tax certificates, and closing packages
Review title commitments to identify and help resolve clouds, defects, or encumbrances
Collect all required documents from both sellers and buyers (e.g., IDs, entity paperwork, affidavits, payoff authorizations, power of attorney, etc.)
Track and manage all transaction deadlines and critical dates, including option period, title objection, closing date, funding date, and document due dates
Maintain internal systems to monitor key contract milestones and proactively ensure all parties meet their obligations on time
Coordinate closely with buyers, sellers, agents, lenders, and attorneys to facilitate a smooth and timely closing
Prepare, review, and distribute preliminary and final settlement statements (HUD/CD) as needed
Schedule closings, confirm attendance, and ensure all required signatures and documents are received
Assist in post-closing activities, including deed recording and disbursement coordination
Keep internal team updated on file status, any title issues, and potential delays
Organize and maintain accurate records in title tracking and transaction management software
Qualifications:
2+ years of experience in title coordination, escrow, or real estate transactions
Deep understanding of title commitments, surveys, liens, and the closing process
Excellent time management skills with a proven ability to meet deadlines
Strong written and verbal communication skills
Attention to detail and ability to manage multiple files simultaneously
Proficient in Microsoft Office and title software
Experience working with real estate investors or wholesaling (preferred)
