The Administrative Assistant role is a key position for our Chief Revenue Officer at Driven Inc.

The Administrative Assistant role is a key support position. The position will be responsible for supporting a senior executive of the company with calendar management, project management, and personal projects.
In the role of Administrative Assistant, you will be responsible for calendar management, including interfacing with clients and prospects. Professionalism and timeliness is required for this role.

This is a FULL TIME 40 hours/ week position.

This is a long term career opportunity, with 13th month and benefits after 90 days of successful performance. In exchange we require an exclusive commitment, no outside project, clients, freelancing or P/T jobs.

Must be willing to work US hours. You have at least 2 years experience working US hours..


RESPONSIBILITIES FOR THIS JOB INCLUDE:

Calendar Management- create, manage and streamline CRO’s time and scheduling systems, prioritizing appointments and working directly with customers and tea ---------- mbers as necessary
Manage incoming communications such as phone calls, emails, and mail; redirect or prioritize as appropriate.
Serve as a point of contact for CRO’s clients, providing prompt and professional service to address inquiries and ensure a positive client experience.
Assist with client onboarding and document collection to ensure compliance.
Support meeting preparation and follow up including allocating appropriate time slots and ensuring awareness/preparation
Coordinates onsite & offsite meetings and logistics
Reviews and answers mail, email and other inquiries assigned by CRO
Independently prepare/ edit presentations from rough drafts. Experience with sales presentations and webinars is a plus.
Recognizes and effectively handles confidential information on a routine basis
Establishes, maintains and updates the filing system for the CRO including filing, scanning and organizing. Retrieves information from files when needed Experience with Dropbox and Google Drive is a must
Work independently and within a team on special and ongoing projects.
Ability to multitask, and work effectively under deadlines
Admin Assistant must have the ability to take initiative, organize and complete projects with minimal direction
Project Management- prioritizing tasks & projects both large and small
Filing & organizing paperwork
Create, manage and streamline organizational systems
Arrange domestic and international travel schedules, reservations and logistics that optimize time
Able to anticipate needs
Run weekly, monthly & quarterly sales reports for CRO
Maintain a high level of professionalism and discretion in handling information.
Personal tasks as assigned by the CRO

THE IDEAL CANDIDATE:

Has EXCELLENT English & People Skills, Professional demeanor and strong interpersonal skills.
Tech-savvy and proficient in all major platforms
Clear, focused, organized, grounded, efficient, and able to achieve outcomes FAST
Intuitive- ability to anticipate people’s needs before they ask
High level of professionalism and business etiquette. Due to the confidential and sensitive nature of information, discretion is a MUST
Resourceful, proactive & takes initiative
Quick learner & flexible- ability to engage in a number of detailed tasks at once and handle the demands from the CRO
Strong organizational and time-management skills with the ability to prioritize tasks effectively.
Detail-oriented, proactive, and able to work independently with minimal supervision.

Experience with technology & tools:
Experienced with Project Management (ex: Asana, Trello, Monday, Clickup)
Comprehensive knowledge of Gdrive & GSuite tools
If you have experience with CRMs like Keap or Kartra, Active Campaign, that is A PLUS (but not required)
