JOB OVERVIEW

We are seeking a highly organized, detail-oriented, and proactive Virtual Assistant to support our psychiatric practice. The ideal candidate will manage a range of tasks, including administrative support, patient coordination, marketing activities, and billing functions. This role requires strong communication skills, discretion with confidential information, and the ability to work independently.
Key Responsibilities:

Administrative Support
Manage patient scheduling, appointment reminders, and follow-ups
Respond to patient inquiries via phone, email, and secure messaging
Maintain and organize electronic health records (EHR)
Prepare forms, letters, and documentation as needed

Billing & Insurance
Process patient billing, insurance claims, and payments
Verify insurance eligibility and benefits
Track outstanding balances and follow up on unpaid claims

Marketing & Outreach
Manage and update website and social media profiles
Create and schedule marketing content (social posts, newsletters, etc.)
Assist with online reputation management and patient engagement campaigns.

Practice Operations
Monitor incoming calls, messages, and emails to ensure timely responses
Assist with vendor coordination and supply ordering
Generate reports for practice performance and patient metrics

Requirements:
Prior experience as a Virtual Assistant or in a medical office setting is required.
Familiarity with EHR systems (e.g., Office Ally)
Knowledge of medical billing and insurance processes
Strong written and verbal communication skills
Proficiency with office tools (Google Workspace, Microsoft Office, Zoom, etc.)
Social media and digital marketing experience is a plus
High level of confidentiality and professionalism

Compensation: Based on experience and workload
