About the Role
We are seeking a highly organized, process-oriented bookkeeper/admin based in the Philippines who can take ownership of our day-to-day bookkeeping and support light accounting operations.
This is a part-time, long-term role (10–15 hours/week) ideal for someone who has mid-to-senior-level experience with U.S. small businesses and can step in quickly with minimal oversight. (There may be additional opportunities for expanded role to support different initiatives and needs based on skillsets.)
You will work closely with our COO and internal operations team, helping to reduce our reliance on an external U.S. accounting firm by running a consistent, accurate, and independent bookkeeping process.

What You’ll Do
- Categorize and reconcile weekly transactions in QuickBooks Online
- Manage client deposits and monthly Stripe revenue tracking
- Track and reconcile media spend and other pass-through client costs
- Process bi-weekly payroll in Gusto, ensuring accuracy and timely submission
- Prepare and organize documentation for monthly financial reviews
- Match receipts, vendor bills, and invoices to transactions
- Assist with updating SOPs for financial operations
- Flag discrepancies or unusual patterns and proactively suggest resolutions
- Collaborate with our U.S. team to support quarterly and year-end reporting

What We’re Looking For
- Minimum 5 years of bookkeeping experience for U.S. small businesses or agencies
- Strong proficiency in QuickBooks Online and Gusto
- Understanding of U.S. accounting basics (chart of accounts, cash vs. accrual, GAAP lite)
- Demonstrated ability to work independently with limited oversight
- Ability to explain your process and ask smart questions when needed
- Excellent written and spoken English (clear communicator, detail-oriented)
- Familiarity with agency models and project-based billing is a plus
A Day in the Life
- You log in during your preferred hours (with 1–2 hours per week of overlap with U.S. Pacific Time)
- You reconcile the bank and credit card feeds in QBO and process payroll in Gusto
- You notice a mismatch in Stripe deposits and flag it to the COO with a quick Loom explanation
- You update a running spreadsheet for pass-through media costs by client
- You clean up any miscategorized entries from the week and check off your SOP list
- You send out invoices and follow up over
- You set up a new client in QB and issue the invoice for the first milestone
- You meet briefly with the finance lead to close out the month or prep reports for review

Schedule & Compensation
- Part-time, 10–15 hours per week
- Flexible schedule, but availability for occasional U.S. Pacific Time meetings is required
- Hourly pay: Competitive, based on experience and skill (targeting $10–$18 USD/hour)
- Paid monthly as International Contractor via Gusto
- Long-term engagement with potential for increased scope or hours based on performance
