We are a US-based retail maintenance and construction company looking for a highly organized and reliable Administrative Assistant to support our operations team. This is a remote, full-time role requiring strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
Manage and organize work orders, project updates, and documentation
Coordinate with vendors and technicians for scheduling and follow-ups
Answer incoming calls and
Update spreadsheets, client portals, and CRM with job progress and status
Assist with preparing quotes, invoices, and change orders
Follow up with clients for updates, approvals, or documentation
Perform general admin tasks as needed to support the team
Requirements:
Proven experience in administrative or project coordination roles (experience in construction or maintenance is a strong plus)
Excellent written and spoken English
Comfortable making and receiving phone calls and being on camera for the work day (quiet workspace and headset required)
Proficient in Google Workspace and Microsoft office (Gmail, Sheets, Docs, etc.)
Highly organized with strong attention to detail and follow-through
Able to work independently, manage time well, and meet deadlines
Available to work Monday–Friday, 9 AM – 6 PM U.S. Eastern Time
