Podcast & Radio Outreach Specialist

TYPICAL DUTIES & TASKS
• Research relevant podcasts, radio shows, and digital media outlets that align with the brand or client goals
• Create and manage a database of target shows with key details (contact info, audience, format, etc.)
• Write and send personalized pitches using approved templates and bios
• Follow up with show hosts or producers to increase booking rate
• Schedule booked interviews and coordinate details between host and guest (bio, headshot, talking points, etc.)
• Track outreach activity and results inside a CRM or spreadsheet (status: pitched, responded, booked, etc.)
• Adapt and update messaging based on feedback or booking trends
• Maintain a content calendar of upcoming interviews and published episodes

REQUIREMENTS
• Excellent written English - professional but conversational tone
• Strong attention to detail when researching and inputting information
• Proactive communicator and highly organized (you follow up without being reminded)
• Confident working with email outreach tools and CRMs
• Able to follow templates while still personalizing messages effectively
• Understands branding, positioning, and why people get booked for media- NOT just mass blasting

PLATFORM EXPERIENCE
You’ll be expected to work within:
• Gmail and Google Workspace
• Airtable, Notion, or Google Sheets for tracking outreach
• Calendly, TidyCal, and other scheduling tools

APP EXPERIENCE (BONUS)
It would be ideal if you’ve used some, or all, of these tools:
• Apollo, ---------- , or podcast directory tools
• Descript

WORKING KNOWLEDGE
You should either fully understand, or have a working knowledge, of these concepts:
• What makes a great podcast pitch (why hosts say “yes”)
• How to match topics to a show’s audience
• How to write attention-grabbing subject lines and intros
• How to track and improve response rates over time
• The basics of personal branding, marketing, or coaching industries

TECH REQUIREMENTS
• Reliable internet connection
• Clear and professional email writing ability
• Google Drive access
• Comfortable with outreach platforms and status tracking tools
• Willing to communicate in Slack, Notion, or Asana

COMPENSATION & SCHEDULE
• $8-$10 USD/hour
• Weekly payments via PayPal
• 3-5 hours weekly to start
• Must be able to send out 10–20 quality pitches per week and follow up within 3–7 business days
• Flexible working hours, but with consistent, measurable output and responsiveness
