Automation & AI Systems VA – Zapier, Google Sheets, CRM, PDF Automations (Part-Time)

Job Description:
We’re a fast-growing company offering mold inspections, consulting, construction, and window and roof installations. We're seeking a part-time, long-term VA who’s great with automation tools, AI, and organizing systems.
This is not a generic VA job. We want someone who:
Loves automation
Solves problems with tools like Zapier, ---------- , or AI
Can help us systematize and document processes
Works quietly, independently, and fast behind the scenes


If you're the type of person who sees a manual process and thinks, “How can I automate this with a Zap or script?” we want you.
Tasks You'll Help With:
Create automations using Zapier, Google Apps Script or simlar
Auto-fill PDFs and city forms using PDF.co or similar pdf softwares
Build internal dashboards and workflows using Google Sheets
Use AI tools like ChatGPT to help summarize data, reports, and documents
Trigger client emails and invoice follow-ups from CRM (JobNimbus)
Pull info from emails or webforms and move it into our systems
Use templates and smart tools to streamline our day-to-day operations

Requirements:
Intermediate to advanced knowledge of Zapier
Strong Google Sheets skills (formulas, logic, automation triggers)
Good English writing (you’ll write AI prompts and summaries)
Comfortable working with CRMs or form data
Able to learn and document new tools or workflows
Quiet, focused, tech-savvy and gets things done fast

Bonus (Preferred but not required):
Familiar with JobNimbus or similar CRMs
Can write basic automation SOPs or flowcharts
Familiar with automating PDFs
Experience creating flowcharts


Job Details:
Part-Time: 20-25 hours/week to start (flexible)
Salary Range: Hourly depending on skill level
Working Hours: Flexible, but overlap with EST mornings is preferred
Potential to grow into full-time if results are great
Long-term role with training provided and stable pay
