JOB OVERVIEW

We're a fast-growing SaaS startup helping creative professionals work smarter.

We’re looking for a sharp, proactive Executive Assistant to manage marketing, operations, admin, and basic bookkeeping tasks. This is not a passive, check-the-box role. We're looking for strong judgment, attention to detail, an intuition for brand/creativity, and the ability to think critically and strategically, especially when using AI tools.

???? What You'll Do

Marketing & Growth

* Schedule & publish content across Instagram, TikTok, Pinterest
* Repurpose long-form content into short-form videos using Capcut, Descript
* Manage email marketing (Flodesk): design, segment, analyze, optimize
* Launch and monitor paid ad campaigns (Meta, Pinterest, Etsy)
* Research trends, creators & competitor campaigns
* Track performance via UTM links, PostHog dashboards, and weekly reports

Admin & Operations

* Maintain CRM data (Attio): clean, segment, monitor pipelines
* Manage inboxes & customer queries
* Organize tasks and files (ClickUp, Google Drive) and declutter systems
* Draft docs, slide decks, and internal comms
* Coordinate events (webinars, trade shows, launches)
* Handle travel bookings, scheduling, and team onboarding/offboarding

Bookkeeping

* Record and categorize expenses in Xero
* Match transactions with invoices and upload receipts
* Flag inconsistencies or issues for review

Quality Control & Content Support

* Upload and format blogs (Webflow), optimize for SEO/GEO
* Proofread and QA marketing content (emails, captions, site)
* Check links, visuals, formatting, and consistency
* Monitor user feedback and categorize for product/UX teams

Executive Support

* Calendar & recruitment coordination for CEO
* Audit workflows and flag inefficiencies
* Create or improve SOPs using ClickUp + AI

We’re Looking For Someone Who...

* Thinks critically and doesn’t just check off tasks, but understands the "why" and improves them
* Is proactive, resourceful, and doesn’t wait to be told what to do
* Writes clearly and catches inconsistencies
* Understands audiences and storytelling (visually + tonally)
* Knows tools like Flodesk, Meta Ads, Capcut, ClickUp, Webflow, Google Suite
* Is comfortable using ChatGPT or AI tools—but applies judgment, not blind trust
