JOB OVERVIEW

Job Overview
We are seeking an experienced bookkeeper to migrate our financial records from QuickBooks to Zoho Books and implement a simplified chart of accounts structure. This is a project-based role with potential for ongoing bookkeeping services.
Primary Responsibilities
Migration Tasks

Download and export all historical data from QuickBooks, including:

Bank statements
Invoices
Transaction records
Customer information


Rebuild complete financial records in Zoho Books
Ensure data integrity throughout the migration process

Payment System Integration

Set up and configure integrations with:

GHL (Go High Level) for billing management
Stripe for credit card payments
Go Cardless for ACH payments


Establish proper reconciliation procedures for multiple payment streams
Create workflows for automated payment matching in Zoho Books

Chart of Accounts Restructuring
Implement a simplified 4-category structure:

Income - All revenue streams
Overhead - General business expenses
Direct Costs - Client-specific expenses (with detailed tracking per client)
Consulting - Services billed by our related LLC (Company B)

Business Structure Requirements

Company A: Primary billing entity, pays overhead and direct costs only
Company B: LLC handling consulting services and owner expenses
Maintain clear separation between entities
Track direct costs by individual client for profitability analysis

Ideal Candidate Qualifications

Proven experience with both QuickBooks and Zoho Books
Strong understanding of chart of accounts setup and management
Experience with business reorganization and data migration
Knowledge of multi-entity bookkeeping structures
Experience with payment platform integrations:

Go High Level (GHL) billing system
Stripe payment processing
Go Cardless ACH payments
Multi-platform payment reconciliation


Attention to detail and data accuracy
Understanding of business sale preparation requirements

Project Goals

Streamlined, simplified books structure
Accurate client-level cost tracking
Clean financial records suitable for business sale preparation
Proper entity separation between Company A and Company B

Deliverables

Complete migration of historical data to Zoho Books
Properly configured chart of accounts with 4 main categories
Client-specific direct cost tracking system
Payment system integration and setup:

GHL billing system connected to Zoho Books
Stripe payment reconciliation workflows
Go Cardless ACH payment matching procedures


Documentation of new bookkeeping procedures
Training on the new Zoho Books setup and payment reconciliation processes

Timeline: 1 week
Work Hours: 10am - 4pm EST (6 hours/day)
Compensation: $4.50
