???? About the Role
We’re looking for a highly organized, English-fluent Virtual Assistant to work directly with the owner of a U.S.-based group of restoration and plumbing companies. This is a long-term opportunity for someone who thrives in a fast-paced environment and is confident handling a mix of administrative, financial, and customer-facing responsibilities.
???? Key Responsibilities
• ? Accounts Receivable Management
• Contact customers via phone/email to follow up on unpaid invoices
• Update AR software and maintain accurate records
• Collaborate with internal staff to resolve payment issues
• ? Email & Inbox Management
• Organize inbox, flag priorities, respond to messages
• Clear out clutter, draft replies, and maintain an organized system
• ? Report Generation
• Pull reports from QuickBooks Online and other internal systems
• Format and present financial and operational data
• Manipulate data from Excel and other sources to create and update KPI dashboards
• ? Executive & Admin Support
• Book travel, make reservations, manage calendars
• Help with both business and occasional personal tasks
• ? Outbound Calling & Prospecting
• Make cold calls to potential commercial clients
• Set appointments and follow up with leads
? Required Skills
• Familiarity with QuickBooks Online, Google Workspace, Gmail/Outlook
• Experience with ChatGPT
• Experience with CRMs like ServiceTitan
• Data entry and file organization
• Graphic design (Canva, simple document formatting)
