JOB OVERVIEW

We are a 26 year old US based company looking to hire a reliable, versatile, virtual assistant, who in turn is looking for a full time, long term position. We are hiring one person to start and more as needed.

You will need to very comfortable in MS Office, Adobe Acrobat(PDF), and Adobe Indesign (5+). We would prefer that you have your own copy of Adobe Indesign (5+), but if you don't it's not a deal killer so don't let it stop you from submitting yourself as a candidate (You should be familiar with the program though). If you are good with Google Docs and/or Zoho it's plus. There is some (Lite) graphics manipulation so knowing Adobe Photoshop would help.

You will have a variety of roles to fill that include; receiving emailed job instructions, creating predefined templates in Indesign, uploading zipped files to a website, customizing the files, and proofing the results. All the website work we currently perform is template based and will not require any HTML coding, just following instructions.

You will be downloading MS Excel files from our web sites, then manipulating the excel data to suite our reporting requirements. Our future goals including uploading this data to the ZOHO Creator application and using their reporting function.

Once the various excel spreadsheets have been finalized, you will email the results on a daily basis.

On occasions, you will be asked to notify our customers of shipping (Fed Ex/UPS) results and delays as we are notified. You will need to be able to research tracking information as needed.

You will need to be familiar with FTP as we'll be using this to perform most of our file uploads/downloads.

We will communicate via email, phone, webinars, Skype, Teamviewer, conference calls, so being familiar with all of these will help. Good English (Written/Spoken) is necessary to make projects and communication streamlined, efficient and effective.

A number of our tasks must be done quickly, and based on the time difference, its important that projects/tasks get done in a single business day, while maintaining accuracy. Speed, accuracy, attention to detail, and an ability switch between tasks quickly is essential.

While this work description has tried to outline most of the tasks you would be asked to perform, the job and therefore the list of requirements continues to evolve. It's important that you can learn new skills as needed, are willing to take on new challenges and be able to adapt to changing timelines.
