JOB OVERVIEW

About the Role
We're a growing digital marketing agency specializing in fitness and martial arts businesses but also branching out. We need an experienced Client Operations Manager to streamline our client management systems, create efficient workflows, and help scale our operations.

What You'll Do

- Set up complete client management system in Notion, ---------- , Google drive or similar platform
-Create and organize client information databases with all necessary details for our team
-Build SOPs and workflows for our VA teams (ad creation, content, etc.)
-Organize file management systems for client assets, templates, and deliverables
-Create tracking systems for project delivery and team accountability
-Help hire and train new tea ---------- mbers as we scale
-Optimize existing processes to reduce manual work and increase efficiency

Our Current Situation

-Clients: Gyms and martial arts facilities (growing rapidly)
-Services: Facebook/Instagram ads, website building, SEO, GHL
-Team: Owner + 2 VAs (image ads, video ads)
-Challenge: Need organized systems to manage everything efficiently

What We're Looking For
Must Have Experience:

-3+ years setting up operations for digital agencies or similar businesses
-Proven experience with client management platforms (Notion, Monday, ClickUp, etc.)
-Created SOPs and workflows for creative teams (ads, content, design)
-Experience managing Filipino VA teams and understanding their workflow needs
-Built file organization systems for creative assets and client deliverables

Technical Skills:

-Expert in Notion, ---------- , or Airtable (your choice of platform)
-Experience with Google Workspace (Drive, Sheets, Docs)
-Understanding of Facebook Ads Manager and creative workflows
-Knowledge of Canva, design asset organization
-Basic understanding of project management principles

Soft Skills:

-Systems thinking - you see the big picture and how pieces connect
-Detail-oriented but can work quickly to get systems up fast
-Communication skills - can create clear instructions for VAs
-Problem solver - finds simple solutions to complex workflow issues
-Self-starter - doesn't need micromanaging

Ideal Candidate Background

-Previously worked for digital marketing agencies (5-50 employees)
-Has set up operations from scratch for growing businesses
-Experience with creative teams and asset management
-Understands the challenges of scaling client services
-Located in Philippines (for timezone alignment with team)

What Success Looks Like in 30 Days:

-Complete client management system set up and organized
-All existing client information properly documented
-VA workflows and SOPs created and implemented
-File organization system established
-Team training completed on new systems
